e-Rostering Team Administrator

Job summary

The postholder will support the e-Rostering Team in the trust's wide support and maintenance of the electronic rostering systems for all staff groups.

Responsible for ensuring the wide range of administrative duties are completed within agreed timescales and dealing with issues as they arise, escalating appropriately.

Provide systems support to operational areas on the Health Roster, RL Datix Loop & e-Job Planning.

To support the e-Rostering System Administrators in operational performance and systems administration.

The post holder will provide guidance for Trust staff in the use of Health Roster/, particularly Loop/Employee Online.

The post holder will provide an efficient and effective high quality rostering data administration service; ensuring data is kept up to date and that changes are completed in a timely manner.

Main duties of the job

System Administration

Responsible for the maintenance and updating of an effective system to evaluate and ensure that both ESR (Electronic Staff Records) and Healthroster databases are synchronised using the ESR Gateway tool in Healthroster in conjunction with ESR.

Provide system administration ensuring accurate maintenance of data within the system and allocation of appropriate user responsibilities. Maintenance of high-quality data within the system through data cleansing.

System support

Act as first level support for access and software issues diagnosing and resolving day to day complex system queries, errors or malfunctions, where there could be barriers to understanding, escalating issues where necessary. The jobholder will support the Team in implementing new ways of working and policies alongside general improvements to processes and practice.

Assist with the support of the increasing user base for the system.

Liaise with the IT department to ensure that the system is available and accessible to all users and to liaise where necessary with the RL Datix help desks. Maintain and manage the Standard Operating Procedures (SOP) documents which includes managing the SOP folders, managing and organising the SOP process and sharing with the Trust

Person Specification

Experience

Essential
  • Previous administrative experience, including general administration duties, touch typing, answering telephone / emails, filing, photocopying, scanning, diary management, minute taking and dissemination
  • Highly experienced in the use of Microsoft Office applications, such as Microsoft Outlook, Word, Excel and Publisher.
  • Experience in developing and implementing administrative systems, processes and procedures
  • Previous experience of working in a team, responding to competing demands
  • Experience of complex diary management including scheduling meetings, managing staff availability, organising paperwork, locating rooms available etc.
  • Experience of managing and prioritising own workload and working to tight deadlines
  • Experience of preparing meeting documentation, including meeting agendas, and transcribing meeting minutes
  • Dealing effectively with a wide range of people at all levels of staff
Desirable
  • Experience of producing detailed written reports and presentations
  • Previous experience of working in an NHS environment
  • Experience of uploading documents to webpages
