As the Corporate Business Manager, you will play a pivotal role in ensuring the smooth operation of our Mental Health Chief Executive Officers' collaboration programme and providing essential administrative support to key leadership groups. Additionally, you will provide crucial assistance to the Head of Governance, ensuring that all governance-related functions are carried out efficiently and effectively.

Main duties of the job

The Corporate Business Manager (Governance Support) is a key role in ensuring the smooth operation of executive groups within our South West Provider Collaborative. Responsible for senior administrative support, this role involves orchestrating meetings, maintaining forward planning, and developing robust governance frameworks.

From managing stakeholder communication to facilitating collaboration and supporting governance administration tasks, this position is instrumental in driving organisational efficiency and effectiveness.

Additionally, the role contributes to policy development, oversees performance reporting management and coordination, and serves as a professional liaison to our members, providing a proactive and strategic approach to governance support.

JOB PURPOSE

The post holder will ensure the delivery and smooth running of the South West Mental Health Chief Executive Officers programme of collaboration, providing senior administrative support to the South West Mental Health Chief Executive Officers Group, the South West Provider Collaborative Directors and Oversight Group, as well as supporting the Head of Governance with various Governance administration duties.

The post holder will provide exemplary administration support to the Chair of the South West Mental Health CEOs and its members. Managing all stakeholder relationships, running meetings of the South West Mental Health CEOs and Oversight Group, efficiently and effectively, ensuring that information from the South West Mental Health CEOs and Oversight group is effectively disseminated to their members; this may include communicating commercially sensitive or complex information.

Key duties and responsibilities

  1. South West Mental Health CEOs/South West Provider Collaborative Programme Director: Provide senior administrative support to the South West Mental Health Chief Executives Group working closely with its Chair, the members and the provider collaborative to ensure that all business is organised and conducted efficiently and effectively.
  2. South West Provider Collaborative Oversight Group: Provide senior administrative support to the South West Provider Collaboratives Oversight Group working closely with its Chair and members to ensure that all business is organised and conducted efficiently and effectively.
  3. Forward Planning: Develop and maintain a forward plan of business for the South West Mental Health CEOs and the Oversight Group to ensure that all key business is properly planned and coordinated, supporting the administration of the collaborative strategic work programmes.
  4. Corporate Governance: Maintain appropriate Terms of Reference for both the South West Mental Health CEOs Group and the Oversight Group and ensure that their business is conducted in accordance with these and the agreed forward work plans.
  5. Collaborative Governance: Support the South West Provider Collaborative Head of Governance, providing assurance to members of the Provider Collaborative on their Commissioner role and function.
  6. Meeting Organisation: Maintain a calendar of meetings which aligns with key milestones and enables timely and effective decision-making. Make all necessary practical arrangements to ensure that meetings are properly organised and ensure that agendas and papers are prepared to a high standard and in a timely manner.
  7. Meeting Administration: Prepare timely and high-quality minutes and actions points for meetings of the South West Mental Health CEOs Group and the Oversight Group and ensure that appropriate action is taken between meetings to take forward any key issues identified and follow actions up with members.
  8. Strategic Support: Maintain a strategic overview of the work for both the South West Mental Health CEOs and the Oversight Group by managing the timely flow of key information and briefing the respective Chairs appropriately, working closely with the South West Provider Collaborative Strategy lead.
  9. Stakeholder Relationships: Manage all stakeholder relationships, ensuring enquiries and correspondence are dealt with efficiently, management of diaries, organising meetings/conferences/visits including hospitality, meeting venues and travel arrangements.
  10. Communication: Work with the Communications and Engagement Lead to ensure that information from the South West Mental Health CEOs and Oversight Group is effectively disseminated.

Providing and receiving (sometimes) commercially highly complex, highly sensitive and highly contentious information at an advanced level to support the Chairperson of the SW Mental Health CEOs, Chairperson of the Oversight Group, the DeputyProgramme Director and Head of Strategy. This information may have significant barriers to acceptance which need to be overcome using advanced and developed interpersonal and communication skills.

To communicate and liaise with all levels of staff across multiple organisations to ensure that information is disseminated appropriately, including ensuring briefings are formulated for the Chairperson of the SW Mental Health CEOs and Chairperson of the Oversight Group as necessary.

The post holder needs to use discretion to maintain confidentiality, while ensuring the effective communication between a range of people who will be involved in a variety of situations, to facilitate successful outcomes. This might be for example liaison between Meeting Chairpersons and action leads, and the South West Provider Collaborative or communicating between external stakeholders and internal staff.

The post holder may act as point of contact for people in the SW Mental Health CEOs e.g. individuals from within/outside the South West Provider Collaborative, people who use our services, their representatives, members of the public and other internal/external professionals working in and across the health community so will be skilled in managing communication in a range of ways.

The post holder will demonstrate professionalism by initiating actions proactively and using judgement to advance the business functions of the SW Mental Health CEOs and Oversight Group effectively.

Supporting the Head of Governance South West Provider Collaborative in the delivery of best practice governance and systems of internal control across the collaborative commissioning functions, providing assurance in a timely and effective manner.

Administer the meetings and papers for any programme of collaborative work, supporting the Head of Strategy, reporting to the South West Mental Health Chief Executives.

Essential
  • Educated to post graduate level or equivalent level of specialist experience in Corporate Governance.
  • Advance qualification in IT Skills e.g. European Computer Driving Licence or equivalent level of knowledge and experience.
