Divisional Personal Assistant (PA)

Job summary

The Integrated Pathways Division are looking for a creative, dynamic individual who has significant previous experience of working as a Personal Assistant and is able to bring their knowledge, skill and experience to support the Divisional Management Team.

You will be highly organised, practical, reliable and efficient and will have a flexible approach to their role; working on their own initiative as well as working effectively as part of the wider divisional team. Duties will include proactive forward planning, fielding emails and telephone calls, management of complex calendars, meeting management (agenda setting, distribution of paperwork according to an established timetable, high quality minute taking and follow-up of actions).

You will be responsible for a portfolio of meetings. To be successful in this challenging but rewarding role, you will thrive under pressure, have the drive and courage to solve problems and the ability to prioritise a busy workload. The post holder will be diplomatic with highly developed communication skills, the ability to engage with a range of stakeholders and will have proven IT experience.

Main duties of the job

To provide an effective, comprehensive personal assistant service to the Associate Director of Operations, Associate Director of Nursing, and Divisional Clinical Director (Division management team).

Dealing on a regular basis with confidential and, sensitive information relating to staff and services.

Provide a comprehensive, high quality business support service for the senior management team, including typing/word processing of letters, minutes, reports and other routine correspondence, using own initiative.

Maintain the corporate diary for the Group, and be aware of the corporate diary for ESNEFT, including deadlines for submission of papers and reports.

Person Specification

Experience

Essential
  • Proven experience in PA role with a proven track record of achievement
  • Experience of setting up and maintaining a successful filing system and electronic diary management system
  • Experience of minute taking
  • Experience of contributing to the development and delivery of business plans to support corporate objectives.
Desirable
  • Evidence of successful management of change within office environment
  • Experience of supporting organisation communication strategies.
  • Short-hand experience

Qualifications

Essential
  • GCSE or equivalent in Maths
  • GCSE or equivalent in English
  • RSA Level III or equivalent
Desirable
  • ECDL
  • NVQ Level 3 Business Admin
