Job summary

Suffolk and North East Essex ICB have exciting opportunities for Administrators to work within our NHS Continuing Healthcare Team. The roles will involve providing general administrative support to our clinical teams, to include producing routine letters, booking appointments and dealing with general queries, obtaining and inputting confidential information on a database, maintaining accurate records (including electronic records) and archiving. You will be part of a wider team of administrators and Nurses supporting the delivery of the NHS Continuing Healthcare service across Suffolk and North East Essex ICB.

You will work closely with colleagues in other organisations such as the Local Authority, and care providers and will build professional relationships to improve patient experience. You will also have regular telephone contact with members of the public.

Please note, due to the ongoing cost reduction programme and restructure underway at SNEE ICB (due to end in Summer 2024), prior consideration for this role may be given to existing staff who are affected by this programme and this role may be removed from the recruitment process at any time.

Main duties of the job

To assist with the management of all incoming and outgoing correspondence for the Continuing Healthcare

office, to support the nurse assessors, clinical leads and lead nurses as required.

To implement and maintain effective manual and electronic filing systems

To communicate effectively and sensitively with the general public and all Healthcare and allied professionals

Organise and plan the diary commitments of the clinical team.

To be responsible for the processing of all referrals for CHC assessment (including requests for completion of checklists).

To be responsible for the data entry and maintenance of databases

Filing, printing, photocopying, scanning and maintaining all necessary paperwork as required.

To work flexibly to ensure all deadlines are met across the ICB Continuing Healthcare Team, this may require covering different functions and locations as required.

Job responsibilities

To deliver an effective and competent level of administration within the Continuing Healthcare Team, promoting good customer service and effective working relationships. The post holder will be responsible forinputting and maintaining data on data systems, together with the associated correspondence, ensuring a flexible/adaptable approach to their work in order to meet various deadlines and targets.

These roles are challenging but rewarding and offer the opportunity to further develop skills and knowledge regarding NHS Continuing Healthcare and the wider health and social care system.

You will be part of a team where the focus is on continuous improvement to ensure we deliver high standards and work productively to ensure robust and timely decision making for our patients.

Previous experience of NHS Continuing Healthcare is not essential however, you should have experience in general administration including time management, filing, diary management, and telephone skills. You will need to be an excellent communicator with sound interpersonal skills. You will need to have demonstrable IT skills, including Microsoft Word, Excel, Teams and Outlook and will receive in house training to use a clinical system for recording patient information. You will need to have the ability to manage emotive and sensitive issues with tact and diplomacy, work well under pressure, be confident and maintain a high level of professionalism and productivity.

Qualifications

Essential
  • Education to GCSE/equivalent level
  • ECDL, or willingness to undertake training with one year of appointment
  • Good standard of computer skills to RSA III or equivalent
