Job summary

We are excited to be recruiting to our new post in our Data Security and Protection Team as an Administrator. This is a role that requires a trustworthy, organised and diligent person to carry out a variety of tasks whilst learning all about Data Security and Protection. The successful candidate will be a committed team player, with an eye for detail and a love of computer systems.

You may have a thirst for knowledge of Data Security and Protection in a health care setting, this is the place for you, as we will be offering the right candidate an opportunity to complete an apprenticeship whilst they work with us.

We are looking to find a motivated quick learner who wants to be part of a busy team for both Northampton and Kettering General Hospitals.

Regular supervision and training will be provided and you will be encouraged to undertake any training relevant to your professional and personal development.

Main duties of the job

To provide provision for the day-to-day workload of the DSP Office, dealing with general administrative tasks to ensure the team is able to manage the DSP functions and responsibilities effectively.

The postholder will be extremely organised and proficient in the use of Microsoft systems and other Group systems including Datix and DSP Toolkit. To be familiar with the statutory requirements of the Data Protection Act (DPA), and the General Data Protection Regulation (GDPR) in order to understand the basic fundamentals of the legislation which will enable the post holder to effectively administer, draft and escalate tasks appropriately.

Job responsibilities

Data Security and Protection (DSP)

Provide administrative assistance to the DSP Team

To escalate to relevant staff where required on areas of complex information governance legislation, such as UK GDPR, Data Protection Act 2018 and the NHS Code of Practice on Confidentiality.

To administer and monitor the relevant DSP inboxes, ensuring that queries andtasks are appropriately responded to or escalated to team leaders.

To answer the DSP telephone and take messages as required and escalate issues and concerns raised by internal and external stakeholders

To administer requests from department colleagues, support services, clinical services, operational and strategic Data Security and Protection leads and internaland external DSP colleagues to help promote excellent Information Governance, Data Security and Data Protection practice

To administer Data Security and Protection incidents using Datix and where appropriate support in the investigation process, ensuring relevant actions are recorded and assigned to staff as necessary

Provide administrative support as directed by the DSP Manager and Team Leader

Provide administrative support by taking notes and minutes for the information for Data Governance Group (DGG) and Information Governance Group (IGG), Clinical Administration Group (CAG) and any others as determined by the Head of DSP, ensuring accurate documentation of actions and decisions is recorded, preparing the minutes into the agreed format, ready for sign off

Support with Data Security and Protection user satisfaction surveys in line with Data

Security and Protection Toolkit requirements.

Attending relevant meetings as directed by the DSP Team Leader

Provide support to other areas of the Data Security and Protection Team as directed by the Head of Data Security and Protection.

Follow standard operating procedures for all routine tasks carried out within the role,reporting any updates and changes as necessary.

Support the administration of appropriate DSP related policies and procedures.

Support in the collation of the evidence required for the annual Data Security and Protection Toolkit submission and participate in improvement plans.

Maintain the Trusts Information Asset Register and undertake reviews in coordination with Information Asset Owners and Information Asset Administrators.

Occasionally support with input of information on the Information Sharing Gateway (ISG) including Data Protection Impact Assessments, Information Assets and ThirdParties

Administer the Groups Privacy Notice as directed by the DSP Team Leader

Establish good working relationships with key staff in all departments across the Trust.

Assist the DSP Team Leader in the administration of relevant reports and information for compliance reporting, inspections and internal assurance

Escalate incidents to the Team Leader immediate when they may meet the criteria for a Serious Incident / reportable to the ICO

Provide IG administrative support for R&D programmes

Be a first point of contact for the complaints team and directly with members of the public to escalate appropriately regarding any DSP grievances and queries

To maintain their knowledge in Data Protection Law and UK GDPR

Administer the Internet and Intranet pages for DSP as appropriate, as directed bythe DSP Team Leader

Educations, Training and Qualifications

Essential
  • Educated to Level 2 NVQ or equivalent level of education or experience
  • Proven IT Skills

Knowledge and Experience

Essential
  • Experience of Microsoft applications, including MS Office, Word and Teams
  • Experience of communicating with a wide range of people
Desirable
  • Experience of working in the NHS
  • Knowledge and understanding of the FOI Act, Data Protection Act 2018, Access to Health Records Act and the UK General Data Protection Regulation
