Job summary

An opportunity has arisen for a Facilities Soft Services manager to form part of the Facilities Department management team at West Suffolk NHS Foundation Trust.

This is a great opportunity for a suitably qualified and experienced individual who strives to deliver a high-quality service.

You will manage the operational delivery of the Soft Services at our community sites for the following services Domestic services, Catering services and Portering services.

We are looking for an enthusiastic individual who will be expected to communicate clearly to create an effective services delivery, someone who is result orientated to ensure compliance to National Standards of Healthcare Cleanliness 2021, National standards for healthcare food and drink 2022, and the application of all Trust policy and process.

The successful candidate will be a highly motivated, organised, operationally minded, with excellent communication skills.

Main duties of the job

Responsibility for the operational management of the soft services within the community sites on behalf of West Suffolk NHS Foundation Trust .

Responsible for compliance of NHS National Standards of Healthcare Cleanliness 2021 and National standards for healthcare food and drink 2022

Responsible for all staff within area of responsibility making sure sufficient training is provided to the appropriate levels and standards.

Responsible for the departmental adherence to all Trust policy and procedures.

Have budget responsibility for both pay and non-pay cost, for area of responsibility and in doing so stay within prescribed budgetary limits.

Responsible for departmental risk assessment, business continuity plans etc.

Responsible for recruitment, appraisals and any grievance or disciplinary matters

Job responsibilities

The post holder will be a Senior member of the West Suffolk NHS Foundation Trust, Estates & Facilities Soft Services team, with responsibility for the leadership and management of the following services at Newmarket Community Hospital.

Portering

Domestic cleaning services

Catering services

The post holder will also manage the Community Facilities (soft services), provision at various locations including but not limited to (List is not exhaustive and may change).

Brandon

Mildenhall

Haverhill

Woodbridge

Bury St Edmunds

Sudbury

Glemsford

The post holder has leadership, managerial and professional responsibility for the above services and sites on behalf of the Trust including the line management responsibility for the Facilities staff located at those locations.

The post holder will manage and undertake reviews as appropriate of services provide by external contractors undertaking the reviews of Service Level Agreement (SLA). Working closely with the Trust Contract Management Officer.

The post holder will be responsible for ensuring the Community Facilities services and associated facilities staff are effectively resourced, have clear policies to deliver a high quality, safe service with robust governance to give assurance from Ward to Board in respect of national standards and statutory compliance.

The post holder will act as the Trusts expert in regards to the soft services provision for these areas, and in doing so provide specialist and professional expertise to clinicians, senior managers, and other staff throughout the Trust.

The post holder will formulate and deliver operational objectives for areas of responsibility whilst ensuring the provision of a comprehensive and efficient service working on behalf of patients, visitors, and staff.

The post holder will be expected to lead changes in the delivery of those services/departments for which responsibility is held and in do so identify and implement innovative solutions that support the Trusts Objectives.

Accountable for the delivery against Key Performance Indicators (KPIs), service developments and support the departments Business Plan. Lead on the provision of services to sustain future strategies and development for those areas of responsibility.

Responsible for resource management to specified targets and standards in line with the Trusts business plan and national targets.

Responsible for compliance with the following NHS standards - National Standards of Healthcare Cleanliness 2021. National Standards for Healthcare Food and Drink 2022

Support the Head of Facilities as part of the Senior Soft Services Management Team.

Person Specification

Education & Qualifications

Essential
  • Recognised Professional Qualification in a discipline that sits within the service line (e.g. Domestic services, hotel services)
  • Educated to or experience equivalent to Masters level in an Estates and Facilities Discipline principally soft facilities management
  • Evidence of Continuous Professional Development
Desirable
  • British Institute of Facilities Management (BIFM) or similar

Experience & Knowledge

Essential
  • Successful track record of working in an Estates & Facilities role within an environment of comparable scale and complexity
  • Extensive specialist knowledge in a Facilities Discipline
  • Experience of Line Management of Diverse Staff Groups
  • Experience of leading in Soft-Facilities Management
  • Experience of delivering value for money / efficiency related changes
  • Successful track record of working in high performing teams, delivering challenging targets and achieving results.
  • The ability to demonstrate knowledge across the Soft Services portfolio
Desirable
  • Be conversant with relevant Standards (Cleaning, Catering, Security)
  • Experience/knowledge of working in a health service environment.
