Assistant AI Operations Administrator
AI Operations Administrator
Location: Birmingham, Leeds, London
Salary: £30,000 - £35,000
Contract: Full time
About the role
You will keep a live data centre running smoothly from the admin and operations side, and you will do it with AI tools at your elbow all day.
You will be supporting the cloud platforms, networks and AI workloads that thousands of businesses depend on. Behind every engineer in the data hall sits an operations team booking the visits, chasing the parts, logging the tickets and keeping the records straight.
You do not need data centre experience. What we are looking for is someone organised, quick to pick things up, and genuinely comfortable working alongside AI because the tools are part of the job here, not an optional extra.
What you will be doing
- Managing site access: booking in engineers, contractors and client visits, checking ID and permits, and keeping the visitor and access logs accurate
- Raising, updating and chasing tickets in the service desk system, and keeping requesters informed on progress
- Keeping asset and inventory records current: hardware in, hardware out, spares, consumables and decommissioned kit
- Receiving and checking deliveries, matching them against purchase orders, and flagging shortages or damage
- Raising purchase orders, processing invoices and tracking spend against budget with the Operations Manager
- Scheduling planned maintenance windows and coordinating diaries across engineering, security and third-party suppliers
- Preparing shift handover notes, daily operations summaries and weekly reports for the management team
- Maintaining compliance paperwork: method statements, risk assessments, permits to work and audit records
- Keeping procedures, trackers and shared documentation tidy, version-controlled and easy for the team to find
- Acting as a first point of contact for the site by phone and email, and routing anything technical to the right engineer
How you will use AI every day
A typical day might include:
- Turning rough shift notes into a clean handover summary the next team can act on
- Drafting supplier emails, visitor instructions and internal updates, then editing them so they sound like us
- Pulling the key points out of long maintenance reports, supplier quotes or incident write-ups
- Cleaning up and reconciling asset spreadsheets, and spotting the rows that do not add up
- Building first drafts of recurring reports from the week's ticket and access data
- Writing and improving the step-by-step procedures the wider team follows
- Suggesting where a repetitive admin task could be automated, and helping test the change
What matters to us is judgement. You will be expected to check what the tools give you, correct it, and take responsibility for the final piece of work, never to paste it through unread. You will also follow our rules on what can and cannot be put into an AI tool, which is a serious matter in a data centre environment. We cover all of this in training.
Essential
- Well organised, with the habit of finishing what you start and keeping records straight
- Confident written professional English, clear emails, clear notes
- Comfortable with everyday software: email, spreadsheets, shared drives, messaging
- Has used AI tools such as ChatGPT, Claude or Copilot, and can describe something useful you have done with one
- Willing to check and question what a tool gives you rather than take it at face value
- Reliable timekeeping and a professional manner with visitors, suppliers and engineers
- Discreet with confidential information, in accordance with UK GDPR regulations
Nice to have, but not required
- Any admin, reception, retail, hospitality or customer service experience
- Exposure to a ticketing system, CRM or inventory tool
- An interest in data centres, IT infrastructure or exposure to compliance and UK GDPR . Tell us about it in your application
Probation is three months. Notice during probation is one week on either side. On successful completion the role continues on standard terms, and we will agree a development plan with you, most people in this team go on to specialise in operations, procurement, compliance or technical support.
What we offer
- Salary of £30,000 – £35,000 depending on experience, reviewed annually
- 25 days' holiday plus 8 bank holidays, rising with service
- Workplace pension with employer contributions above the statutory minimum
- Life assurance
- Paid training, and professional development
- Free on-site parking, tea and coffee
Hours, site requirements and how to apply
Hours are 40 hours per week, Monday to Friday, on site. This is an on-site role, the work involves deliveries, visitors and physical records, so it cannot be done remotely. Occasional flexibility around planned maintenance windows is appreciated and given back as time off in lieu.
