Dean Medical Practice-Coleford [part of G DOC LTD]
We are looking for an enthusiastic and motivated ICT & Data Assistant to join our team in a friendly, forward thinking practice. This is a key operational role providing day-to-day technical support, helping staff resolve IT issues quickly, and ensuring our digital systems and run smoothly across all three site as well as assisting with data entry, coding, searches and audits.
Candidates will need to have excellent ICT and data skills communication skills, passionate about working in the NHS and helping to support the local community.
This is a Part Time position 23 hours per week, working days Monday, Wednesday, Thursday & Friday
Hourly rate from £14.30 depending upon experience

Main duties of the job
Responsible for all system administration of SystmOne, and other relevant systems, developing such services in accordance with good practice and management requirements ensuring all areas are adequately covered.
To ensure the daily smooth running of the practices computer systems and to develop clinical and other software installations as required.
Maintain system, security and integrity and advise Practice Manager of breaches or risks.

Duties specific to role
Data Administration
- Provision of accurate, consistent and timely data.
- Design and run contract searches and reports as required by internal and external parties.
- Send invitations for long term conditions and drug monitoring reviews.
- Organise seasonal vaccination clinics and run searches for the sending of invites for eligible patients.
- Coding of long-term conditions and the Quality and Outcomes Framework (QOF)
- Maintaining data quality standards and activity data definitions within SystmOne.
- Manage SystmOne activity and end user involvement in system functionality.
- Support system development and implementation to meet business and patient needs.
- Add new employees to IT systems and remove leavers according to protocol.
- Perform IT system audits
- Run reports and audits on the practice telephone system
- Deliver support and training to non-clinical staff on all aspects of SystmOne and support clinical staff with use of SystmOne.
- Support production, update and maintenance of systems training materials, internal policies and SOPs.
- Daily monitoring of clinicians tasks/letters/results with delegation to other clinicians during absences.
- Update and maintain asset registers
Development, maintenance and integrity of SystmOne concepts, protocols and templates
- Maintenance and development of templates in line with ICB reporting requirements and business needs
- Advise and communicate risks and challenges threatening business viability in relation to concepts, protocols and templates
- Identify and support development of protocols and concepts in line with practice needs
- Support development of cluster wide working in relation to (but not restricted to) concepts, protocols and templates
Support and maintenance of software systems
- Support development of interoperability of systems
- Demonstrate the whole range of SystmOne system functionality
- Co-ordinate user access to systems appropriate to position
- Monitor, investigate and log system faults and performance issues and functionality change requests with relevant service desks, system suppliers, NHS Digital and users and follow through to resolution.
First response ICT lead
- Monitor, maintain, troubleshoot, rectify or report computer network, servers UPS, workstations, printers, telephone system, systems and software problems.
- Provided first response level of cover for onsite issues in relation to afore mentioned areas.
- Create, log and facilitate/manage all support calls on appropriate database.
- Where necessary, provide alternate temporary work around to ensure smooth running of the practice.
- Maintain system security and advise the Practice Manager of breaches or risks.
Additional Responsibility
Covering IT staff absences. Undertaking such other duties as may be agreed from time to time with the Practice Manager as required to ensure the smooth running of the Practice.

Person Specification
Experience
- Experience providing IT support in an office or healthcare environment
- Experience producing data reports, dashboards, or audits
- Experience maintaining accurate records and handling confidential information
- Experience working with clinical systems or patient facing digital tools
- Broad knowledge of General Practice
Skills
- Excellent communication skills (written and oral)
- Strong IT skills (hardware, software, troubleshooting)
- Competent in the use of Office and Outlook
- If not already competent in SystmOne, Office & Outlook, willing and able to undertake training and develop competency.
