Keep the Team Moving. Keep Clients Happy. Keep the Business Running.
You'll be the organisational hub connecting our clients, engineers, suppliers and Director.
When a client needs support, you'll help coordinate the response. When an engineer's schedule changes, you'll rearrange resources. When an order, invoice or project needs chasing, you'll make sure it gets followed through.
You'll also work closely with the Director, helping manage their diary, communications and priorities so they can focus on leading and growing the business.
It's a hands-on role with plenty of moving parts, where being organised, resourceful and able to think on your feet really matters.
Where You'll Make an Impact
Engineer & Service Coordination
• Managing engineers' diaries, site visits and daily schedules
• Coordinating client requests and allocating work to the appropriate engineers
• Rearranging schedules quickly when urgent jobs, sickness or changing priorities arise
• Tracking open jobs and projects, following up to ensure work is completed
• Maintaining the engineers' on-call rota
• Acting as a friendly, professional first point of contact for non-technical client enquiries
Purchasing & Business Operations
• Ordering IT hardware, software and licences from suppliers
• Obtaining supplier quotations to support client proposals
• Following up deliveries, returns and warranty claims
• Tracking software licences, subscriptions and renewal dates
• Preparing invoices, reconciling supplier bills and following up outstanding payments
• Maintaining staff attendance, holiday and absence records
PA Support to the Director
• Managing the Director's diary, appointments and meetings
• Screening and prioritising calls, emails and correspondence
• Arranging travel, bookings and meeting logistics
• Preparing documents, letters and business correspondence
• Following up outstanding actions and ensuring important priorities stay on track
About You
You're the kind of person who can have ten things happening at once and still know exactly what needs doing next.
You're confident dealing with people, comfortable making decisions and naturally proactive when something needs sorting.
You don't need to be an IT engineer or technical specialist, but you'll be comfortable working alongside technical colleagues, learning the terminology and understanding how an IT services business operates.
You'll ideally bring:
• Experience in operations coordination, office management, service delivery administration or a similarly varied role
• Strong scheduling, diary management and organisational skills
• Experience coordinating people, appointments, field teams or service requests
• Confidence managing suppliers, purchasing, invoices and general business administration
• Excellent Microsoft 365, Outlook and Excel skills
• The ability to manage competing priorities and respond calmly to unexpected changes
• Experience supporting a Director or senior manager, or the confidence to take on PA responsibilities
• Discretion, initiative and a practical, solutions-focused mindset
Experience in an IT managed services provider (MSP), technology business, technical service company or field engineering environment would be particularly valuable.
Above all, you'll be energetic, dependable and exceptionally well-organised, with the confidence to take ownership and keep a busy business moving.
Why Active IT?
