Data & Operations Manager

Job summary

We are seeking a skilled Data and Operations Manager to join our team. You will be responsible for collecting, analysing, and interpreting complex data sets to help drive business decisions.

This role requires strong analytical skills, proficiency in data analysis tools, and the ability to work collaboratively with cross-functional teams.

The role will require you to have an involvement with the daily running of the practice includingHR working in conjunction with the Practice Manager in this area.

Main duties of the job

You will help to embed our new patient recall system and take responsibility for tracking and reporting its actual performance throughout the year.

The output from your role will help the practice make data-driven decisions that can improve operational efficiency, customer experience, and business outcomes.

Using searches within Ardens and EMIS you will monitor the volume of patients needing an invite alongside clinical capacity and will report any shortfall or excess capacity to the Practice Manager.

You will offer the reception & nursing team general support in respect of searches and invites.

You will have strong analytical and problem-solving skills and you will be familiar with the Quality and Outcomes Framework indicators; Impact and Investment Fund indicators and a knowledge of Manchester local schemes would be a bonus. You will have a working knowledge of both Ardens and EMIS.

You will be responsible for submission for enhanced services with support from the Practice Manager.

Operationally you will work with the practice team to assess capacity and demand to ensure we are effectively using our team to ensure the best for our patients.

You will be involved in the day to day operations of the practice in conjunction with the Practice Manager covering such areas as capacity and demand, appointment usage, digital agenda, HR, PCN projects.

This is a new unique role within the practice and as such we are looking for someone who can adapt as the role evolves.

We are an innovative and vibrant General Practice Surgery situated in a new purpose built Hub based in the heart of Gorton. This Hub offers Gorton Medical Centre to offer an increase in the number of clinical rooms which will allow us to recruit more healthcare professionals and members of staffso that we can offer a wider range of services.

We hope to be able to offer a range of other servicesand work collaboratively with other services based at the Hub.

We have a registered list of over 9500 patients.

Job responsibilities

You will have responsibility for monitoring, tracking, and reporting on the progress of our patient recall system throughout the year. Your role will support the practice in making data-driven decisions that can improve operational efficiency, customer experience, and business outcomes.

Previous experience of working within a Primary Care setting is essential.

You will have strong analytical and problem-solving skills and you will already be familiar with the Quality and Outcomes Framework indicators alongside and Impact and Investment Fund indicators and to have knowledge of Manchester specific schemes would be a bonus.

You will also have a working knowledge of both Ardens Manager and EMIS.

Key administrative requirements of the role:

Understand the recall system and promoting it to staff across the business.

Be the go-to expert on searches within the practice.

Support existing members of the Long-Term Conditions team with searches as necessary.

Track and report search results to the Practice Manager.

Intervene and support the Long-Term Conditions team when the volume and type of searches deviate from expectations.

Identifying where clinical appointments is a limiting factor in sending invites and support the Practice Manager in costing out options to overcome this.

Responsible for submission on CQRS and other required methods.

To deal with operational HR on a day to day basis.

Essential
  • Experience of working in a Primary Care setting
  • Administrative experience
  • Strong IT Skills including Excel
  • Working knowledge of Ardens & EMIS
  • Working knowledge of search function within Ardens & EMIS

Qualifications

Essential
  • Educated to GCSE grade A-C or equivalent in Maths and English
Desirable
  • Advanced Primary Care Qualifications
