QMS Data Officer

Job summary

We are looking for a QMS Data Officer to join the multidisciplinary team in ORLAU, one of the innovative, NHS funded departments here at the RJAH Orthopaedic Hospital Foundation Trust.

The successful candidate will be a dynamic individual who ideally has some prior experience of ISO standards, either in their routine management or implementation within a field, but not necessarily healthcare. This role supports the ongoing maintenance of ORLAU's existing Quality Management System which underpins its compliance with international quality standards to ISO 13485 and 9001 for both its clinical and technical services.

Achievement of these complex standards allows ORLAU to fulfil the requirements of the UK Medical Devices Regulations so that our range of medical devices can be manufactured safely and legally. The role also involves an element of working alongside the departmental manager in supporting the collation of regular KPI data to aid the efficient running of the wider department.

As the successful candidate, you will work in conjunction with staff across ORLAU to compile data & reports, oversee processes & databases and monitor actions. You will be involved with training and supporting staff across the department to maintain compliance with quality processes, auditing and record keeping.

Main duties of the job

The role will appeal to an individual with an aptitude for attention to detail, with a systematic, data driven approach. Although much of the work will be desk-based, you will also be the type of person who enjoys working with a broad range of staff across a multidisciplinary team of clinical, technical and admin staff and have a positive, pragmatic and creative outlook.

Job responsibilities

Overseeing the smooth operation of the Departmental Quality Management System. Monitoring various databases to ensure documents/processes are up to date, ensure staff training is being undertaken in a timely fashion, managing the issuing and recording of internal audit activity, keeping track of our approved suppliers list and adding to it where required. General maintenance of the QMS, including archiving obsolete versions of documentation and ensuring the current version is available to staff.

Person Specification

Qualifications/Training

Essential
  • Good general education to 'A' level/Diploma level or equivalent.
  • GCSE A* - C in Mathematics or equivalent

Experience

Essential
  • Manipulation of datasets using databases and spreadsheets
  • Understanding of hospital information systems (e.g. PAS, EPR) and departmental procedures and systems.
  • An understanding of Quality Management principles and systems

Skills and Competencies

Essential
  • Time management skills and ability to work to deadlines
  • Strong interpersonal negotiation and communication skills are required
  • Ability to gain an understanding of and interpret other professionals information requirements
  • Advanced skills in Microsoft Office applications especially Excel

Knowledge

Essential
  • Demonstrated ability to understand and interpret complex quality management requirements
  • Knowledge of data-driven process management approaches (obtained, for example, through work involving quality management systems or audit)
  • Enthusiastic, flexible, numerate, analytical, methodical and highly motivated
  • Positive attitude towards learning and development, demonstrated by a record of continuing professional development
