Inventory Management Deployment Officer

Job summary

This is an exciting opportunity to join SWBH to support the introduction of our new inventory management system and wider Scan4Safety programme.

The role will support the project roll-out, system set up and management of stock within relevant areas, ordering and putting away stock as necessary along with project duties. Training to end users on the use of the system will also be included.

We have two roles available, one of which we would anticipate to be based in Theatres and one in the wider Trust.

Main duties of the job

  • Supporting the roll-out of inventory management across the Trust, working with the Scan4Safety Systems Manager and wider Scan4Safety teams.
  • Undertaking project tasks as part of the inventory management system deployment project.
  • Supporting the set up of the system and ordering patterns for relevant areas.
  • Stock taking of areas to create baseline for stock requirements across all three Trust sites.
  • Ordering and putting away of stock as required.
  • Training of end users on system use and associated customer service.

Job responsibilities

  • Support Head of Local Delivery in the daily maintenance, accuracy and integrity of the Trusts IMS system.
  • Working closely with and under the supervision of the Head of Local Delivery and NHS Supply Chain colleagues to work collaboratively with Trust stakeholders to manage the development and maintenance of catalogues to support the IMS deployment.
  • Support the Head of Local Delivery with all process and business documentation for the IMS solution.
  • Responsible for the accuracy and integrity of the Trusts IMS data, liaising with suppliers and customers as required.
  • Take an active role in the IMS deployment project, managing key project tasks.
  • Support departments relevant to the IMS with actions required for deployment, including stock checking, system training and post-implementation support.
  • Conduct materials management duties for areas as needed, utilising the IMS technology to check stock levels and re-order goods.
  • Put away stock into store rooms as required, ensuring the Trusts standardised ward stock process is followed.
  • Engagement of stakeholders such as NHS Supply Chain and the IMS supplier to optimise the project delivery.
  • Work to the Scan4Safety Systems Manager, providing them with support as needed in the effective management of the IMS programme.
  • Use of e mail, electronic diaries, internet/intranet, word processing, copy typing, creating databases, spreadsheets and PowerPoint presentations.
  • Create and maintain user roles & responsibilities including catalogue and IMS access.
  • Develop and maintain administrative systems to ensure project deadlines are adhered to.
  • Administer system menus, static data and manage background processes within the IMS.
  • Ensure effective communication with Iproc department in order to maximise catalogue usage and IMS stock profiles.
  • Provide cover for IProc roles as required based on annual or other leave.
  • Update HTE and Supplier electronic catalogues as needed to ensure correct IMS data.
  • Identify spend that would be optimised in IMS system management and address this with end users.
  • Assist users with application issues and maintain a issues log where these are escalated to the IMS system supplier.
  • The post holder will support the Scan4Safety Systems Manager to work in collaboration with the IMS Steering Group to report and present the Trusts overall performance with regards to IMS deployment.
  • Delivery of training targeted to IMS users to meet individual and department requirements.
  • Training other Trust users where work activity may overlap with the use of the IMS system.
  • Support training on the deployment of Scan4Safety methodology at the relevant stage of the project.
  • Provide post-implementation support in the effective use of the system.
  • Support the establishment of baseline stock profiles for areas due to have IMS implementation.
  • Support the monitoring of stock performance within relevant areas, tracking stock benefits.
  • Supporting clinical areas as needed with tasks related to the IMS system and effective stock management within their areas.
  • Ensure effective administrative functions (eg. running reports, etc).
  • Testing of enhancements and changes to the system
  • Assistance and support with the implementation of new developments within the IMS system.

Person Specification

Qualifications

Essential
  • oDiploma/NVQ3 IT information/ ECDL (European Computer Driving License or relevant experience with IMS / procurement systems.

Experience

Essential
  • Can manage multiple projects simultaneously, can prioritise well and enjoys working on complex projects
  • Understanding of inventory management systems
  • Computer literate and detailed knowledge of basic computer packages e.g. Microsoft Office, Internet and Access based equipment scheduling and ordering systems.

  • Ability to produce reports from the IMS system
Desirable
  • Experience of working within the NHS and an understanding of current issues.
  • Knowledge of additional procurement systems
