Key Responsibilities:

  • Ensure all project documentation is correctly filed within the Project Directory, maintained accurately and updated to the latest revision.
  • Manage the distribution of project documents and drawings, both electronically and in hard copy format, ensuring timely delivery to the relevant parties.
  • Act as the main point of contact for all drawing and documentation-related queries.
  • Maintain accurate records and ensure project information is recorded and retained within the company's Microsoft Dynamics CRM project management system.
  • Prepare Site Files ahead of project commencement, including drawings, Health & Safety documentation and site signage.
  • Archive completed projects and historical documentation in line with company procedures
  • Support project teams with document management and document control activities throughout the project lifecycle.
  • Collect project information and compile comprehensive Operation & Maintenance (O&M) Manuals for client handover.
  • Assist the wider Head Office team with administrative and office support duties as required.
  • Ensure document control procedures are consistently followed, and information remains accurate, accessible and up to date.

Experience and Skills Requirements

  • Previous experience working as an Administrator or within a document management role.
  • Experience within the construction, refurbishment, building or related sectors.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications, particularly Word, Excel, PowerPoint and Outlook.
  • Strong working knowledge of SharePoint and electronic document management systems.
  • Previous experience using Microsoft Dynamics CRM or similar project management software would be advantageous.
  • Ability to work effectively both independently and as part of a team.
  • Own transport is required.
  • Strong administrative and organisational abilities with the capability to prioritise workloads effectively
  • Comfortable working within a fast-paced office environment
  • Strong IT literacy and confidence learning and using new systems
  • A proactive, professional and reliable approach to work
