Recruitment Administration Apprentice
We have a great opportunity for a Recruitment Administrator Apprentice to join a well-established Healthcare provider based in Walsall. The Recruitment Administrator plays a key role in ensuring safe, compliant, and efficient recruitment processes for 5 Care Services Ltd.
Role
Duties and Responsibilities:
- Advertise job vacancies across multiple platforms (Indeed, DWP, social media)
- Respond to enquiries from applicants promptly and professionally
- Screen CVs, shortlist candidates, and book interviews
- Contact candidates to arrange interviews, confirm documentation, and explain the recruitment process
- Conduct initial telephone screening where required
- Prepare interview packs and support interview administration
- Maintain excellent communication with applicants throughout the recruitment journey
- Complete and record identity checks (passport, driving licence, proof of address)
- Complete and record right-to-work checks (UKVI compliance)
- Request, track, and record references
- Complete DBS applications and monitor their progress
- Ensure all recruitment processes follow CQC “Fit and Proper Person” requirements
- Check gaps in employment and document explanations
- Update safer recruitment trackers and ensure files are audit-ready
- Create digital and paper staff files and maintain them to CQC and UKVI standards
- Upload and record training certificates, induction documents, and mandatory checks
- Ensure all compliance documents are completed before staff commence shadowing or care
- Track training expiries and notify management when renewals are due
- Ensure all documents are stored securely in line with GDPR
- Be the first point of contact for recruitment queries
- Build positive relationships with candidates, new starters, and external organisations
- Keep managers updated on recruitment progress and staffing pipelines
- Prepare weekly recruitment reports for the Registered Manager
- Work with Care Coordinators to ensure new staff availability is added to rota systems
- Support induction days, prepare induction packs, and complete compliance paperwork
- Support probation administration and gather probation feedback
- Assist with updating staff availability on Care Planner (if required)
- Record uniform issues, equipment logs, and new starter forms
- Support senior management with personnel-related documentation when required
- Handle all applicant and staff information securely
- Ensure all data processing follows GDPR and company policies
- Maintain confidentiality at all times
- Report any data breaches immediately to the Registered Manager
- Keep recruitment processes efficient, professional, and candidate friendly
- Contribute ideas for improving recruitment and onboarding workflows
- Ensure all recruitment activities reflect the organisation’s values and CQC and UKVI expectations
- Participate in training and development to maintain compliance and industry knowledge
Training
- Business Administrator Level 3
- An apprenticeship includes regular training with a college or other training organisation
- Off-the-job training will follow the time allocations outlined in the occupational standard
