Technical Documentation Specialist
Overview:
We are seeking an experienced Technical Documentation Specialist to support the Digital, Technology and Innovation (DTI) team on a temporary project. Reporting to the IT Systems Manager, the successful candidate will be responsible for producing high-quality technical documentation for the council’s IT infrastructure and systems. The role requires someone who can quickly understand complex technical environments, work closely with technical teams, and deliver clear, structured documentation that supports IT operations and knowledge sharing across the organisation.
Key Responsibilities:
- Work closely with SMEs, engineers and service teams to capture accurate technical information.
- Conduct interviews and workshops with technical staff to gather insights and clarify processes.
- Translate complex technical concepts into clear documentation for both technical and non-technical audiences.
- Produce structured documentation such as:
- Technical architecture diagrams
- System configuration guides
- Standard Operating Procedures (SOPs)
- Knowledge base articles
- Identify gaps in existing documentation and contribute ideas for continuous improvement.
- Develop, maintain and manage the IT documentation repository.
- Establish and enforce documentation standards, taxonomy, templates and version control practices.
- Support knowledge sharing across IT teams through well-structured documentation and artefacts.
Requirements:
- Proven experience working as a Technical Documentation Specialist or similar role within IT environments.
- Strong understanding of IT infrastructure, networks, applications, cloud environments and IT operations workflows.
- Excellent written English and strong communication and collaboration skills.
- Ability to gather technical information from engineers and translate it into clear documentation.
- Experience creating visual documentation such as diagrams, charts, annotated screenshots or multimedia guides.
- Ability to work independently in a fast-paced environment and manage documentation timelines effectively.
- Strong analytical mindset with the confidence to challenge and clarify technical details when required.
Project Timeline:
- Week 1: Understand the environment and agree on scope and outputs.
- Weeks 2–3: Conduct workshops and interviews with technical teams.
- Weeks 4–10: Create and refine documentation with relevant teams.
- Weeks 11–12: Final review, adjustments and project wrap-up.
Regular weekly review meetings will be held with the IT Systems Manager to ensure deliverables meet required standards.
