Job summary
AMP Group Practice is looking to recruit a motivated and organised Administrator to join our busy administration team. This is a non-patient facing role with no reception duties.
The successful candidate will work primarily within SystmOne, managing a variety of administrative workflows and ensuring daily tasks are completed accurately and within agreed timescales. The role is essential in supporting clinicians and the wider practice team to deliver safe, effective and efficient patient care.

Main duties of the job
The post holder will be responsible for:
- Completing daily administrative workflows within SystmOne.
- Processing and managing incoming clinical and non-clinical tasks.
- Ensuring all allocated work is completed accurately and within agreed timescales.
- Processing incoming correspondence and assigning it to the appropriate clinician or department.
- Supporting GPs, nurses and the wider multidisciplinary team with administrative requests.
- Updating patient information within SystmOne where appropriate.
- Assisting with referrals, secretarial work and other administrative processes.
- Escalating urgent issues to the appropriate member of staff.
- Maintaining confidentiality and complying with GDPR, NHS Information Governance and practice policies.
- Supporting service improvement initiatives and helping to develop efficient administrative processes.
- Undertaking any other administrative duties appropriate to the role

Job Purpose
To provide high-quality administrative support to the clinical and operational teams by managing daily workflows within SystmOne and ensuring administrative processes are completed efficiently, accurately and within required timescales.
The post holder will contribute to the smooth running of the practice by supporting clinicians and ensuring administrative tasks are processed promptly and professionally.
Key Responsibilities
Administration
- Complete daily administrative tasks using SystmOne.
- Process incoming electronic correspondence.
- Monitor workflow queues and prioritise workload appropriately.
- Process referrals and associated documentation as directed.
- Update patient demographic information where appropriate.
- Ensure all documentation is processed accurately.
- Liaise with clinicians regarding workflow queries.
- Maintain accurate electronic records.
- Support audits and administrative projects when required.
- Assist with the implementation of new administrative procedures.
Communication
- Communicate professionally with colleagues and external organisations.
- Work collaboratively within the administration team.
- Escalate concerns appropriately.
- Maintain excellent working relationships across the practice.
Information Governance
- Maintain strict confidentiality at all times.
- Comply with Data Protection legislation.
- Follow all practice information governance policies.
- Report any data breaches immediately.
Quality
- Work in accordance with practice policies and procedures.
- Contribute to continuous quality improvement.
- Identify opportunities to improve administrative efficiency.
- Participate in mandatory training.

Qualifications
- GCSE (or equivalent) English and Mathematics (Grade C/4 or above).
- Good standard of general education.
- NVQ Level 2 or 3 in Business Administration or equivalent.
- Customer Service qualification.
Experience
- Previous administrative experience.
- Experience managing a varied workload.
- Experience using Microsoft Office applications.
- Experience working accurately with electronic systems.
- Understanding of confidentiality.
- Knowledge of GDPR and Information Governance principles.
- Understanding of effective office administration.
- Excellent organisational skills.
- Strong attention to detail.
- Good written and verbal communication.
- Excellent keyboard and IT skills.
- Ability to prioritise competing demands.

- Previous experience working within Primary Care or the NHS.
