Operations Administrator (Health & Safety Focus)
Location: Stoke-on-Trent
Hours: Monday to Friday, Office-Based
Salary: £27,500 + DOE
About the Role
We are seeking a highly organised and proactive Operations Administrator to support the day-to-day running of our busy manufacturing operation, with a particular focus on Health & Safety compliance and administration.
This is a varied and fast-paced role that requires excellent organisational skills, strong IT capabilities and the ability to communicate effectively with customers, suppliers and internal teams. The successful candidate will play a key role in maintaining Health & Safety documentation, supporting compliance activities, coordinating project schedules, managing maintenance requests, processing customer orders and producing management reports.
You will act as a central point of contact across the business, helping to ensure operational efficiency whilst supporting a strong culture of safety and compliance.
Key Responsibilities
- Maintain and update Health & Safety records, documentation, risk assessments and compliance registers.
- Support Health & Safety audits, inspections and investigations, ensuring actions are tracked and completed.
- Monitor and coordinate employee training records, certifications and compliance requirements.
- Assist in ensuring company policies and procedures remain up to date and aligned with Health & Safety legislation.
- Manage incoming maintenance requests and liaise with relevant teams to ensure issues are resolved promptly and safely.
- Schedule and coordinate projects, ensuring deadlines, customer requirements and safety standards are met.
- Process customer orders accurately and efficiently.
- Maintain and update internal systems and databases.
- Produce regular operational and Health & Safety reports for management teams.
- Coordinate communication between production, engineering, sales and administration departments.
- Assist with planning, resource scheduling and continuous improvement initiatives.
- Maintain accurate records, documentation and filing systems.
- Provide general administrative support to the wider operations team.
Skills & Experience Required
- Previous experience in an administration, operations, compliance or coordination role.
- Strong knowledge of Health & Safety procedures, legislation and best practice within a manufacturing, engineering or industrial environment.
- Experience maintaining Health & Safety documentation, records and compliance systems.
- Experience supporting audits, inspections and compliance activities.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Confident and professional telephone manner.
- Proficiency in Microsoft Office, particularly Excel.
- Experience producing and analysing reports.
- Ability to work effectively in a fast-paced environment.
- Strong problem-solving skills and a proactive approach.
Desirable Skills & Experience
- Previous experience within a manufacturing, engineering or industrial environment.
- Health & Safety qualification
- Experience coordinating contractor documentation and permits.
- Knowledge of environmental, sustainability or ISO management systems.
- Experience supporting continuous improvement initiatives and operational compliance projects.
