Role Overview
The successful candidate will provide comprehensive office, operational and administrative support to the business, helping to ensure the smooth and effective day-to-day running of the Warrington office and wider business operations. The role has a broad remit encompassing office and facilities management, operational and IT coordination, Health & Safety administration, employee onboarding and offboarding, and PA support to the Managing Director of Asset Finance and the Senior Management Team. Working closely with colleagues across the Asset Finance division, HR, IT, external suppliers and other key stakeholders, the successful candidate will act as an important point of contact across the business. The role requires a highly organised and proactive individual who can manage multiple priorities, take ownership of activities and maintain high standards of service and administration. Responsibilities:
Office & Facilities Management
• Welcome visitors and manage office access and security passes.
• Manage car parking, meeting room bookings and general office organisation.
• Coordinate incoming post, postage and office supplies.
• Order stationery, IT equipment, groceries and other office requirements.
• Liaise with facilities and maintenance suppliers, including cleaning, water, printers and security providers.
• Coordinate meeting room set-up, refreshments and external meeting arrangements.
• Organise office events, including the Christmas party, quarterly socials, birthday breakfasts and huddle lunches.
• Support charity and ESG events and coordinate the quarterly Team Player Award.
• Arrange employee birthday cards and vouchers.
• Review and approve relevant facilities invoices. Operational & IT Support
• Act as the main contact for day-to-day laptop, mobile phone and IT support requirements.
• Liaise with external IT and telecoms providers to resolve issues.
• Arrange the ordering, allocation, replacement and return of IT equipment.
• Manage company website inboxes and distribute enquiries to the appropriate teams.
• Maintain company telephone and Microsoft Teams systems.
• Maintain and audit company laptop and mobile phone asset records.
• Manage company hotel corporate codes.
• Coordinate Bank Holiday and other telephone message updates. Health & Safety
• Coordinate Health & Safety requirements for the Warrington office.
• Support Health & Safety representatives across other company locations.
• Arrange First Aid and Fire Marshal training and maintain appropriate cover.
• Maintain Health & Safety documentation and support policy reviews.
• Coordinate DSE assessments, PAT testing and other required safety checks.
• Manage fire safety testing, maintenance and evacuation procedures.
• Coordinate office risk assessments, inspections and resulting actions.
• Manage office alarm monitoring and access requirements. Onboarding & Offboarding
• Coordinate office arrangements for new starters, including welcome packs and desk set up.
• Provide new starters with an office and Health & Safety introduction.
• Schedule departmental inductions.
• Arrange IT equipment, mobile phones, SIM cards and telephone access.
• Coordinate business cards and email signature updates where required.
• Manage the return of company equipment for leavers. PA & Executive Support
• Provide PA and administrative support to the Managing Director of Asset Finance.
• Manage the Managing Director's diary, travel, accommodation and monthly expenses.
• Schedule Asset Finance divisional and Senior Management Team meetings.
• Prepare agendas and coordinate meeting documentation.
• Collate and distribute monthly SMT/Board packs.
• Arrange meetings and invitations for the CEO as required.
• Coordinate off-site meetings and events for the SMT and Executive Committee. General
• Build effective relationships with colleagues, senior management and external suppliers.
• Maintain accurate records and administrative documentation.
• Identify opportunities to improve office and operational processes.
• Support wider business activities and projects as required.
Experience, and Knowledge Essential:

• Good working knowledge of Microsoft Office applications, including Outlook, Word, Excel and Teams. Desirable:
• Previous experience in an office management, administration, PA or operational support role.
• Experience providing PA or administrative support to senior management.
• Experience coordinating office facilities and external suppliers.
• Knowledge or experience of workplace Health & Safety requirements.
• Experience supporting employee onboarding and offboarding.
• Previous experience within Financial Services or Asset Finance.
