Practice Business Manager

Job summary

We are a well-established and highly respected GP practice, operating from purpose built bright modern premises, providing care to 11,000 patients in Islington.

We are looking for a Practice Business Manager with excellent interpersonal and leadership skills, who can lead by example and work strategically with the partners to ensure we continue to grow and thrive in the next five years. They will be aligned with the partnership core values and ethos.

Main duties of the job

The role is responsible for overseeing the general management of the practice, compliance, HR, finance, premises management, health and safety and IT. This will be supported by a new Operations Manager (currently being recruited to) and a Finance lead. We also have external support for our HR and finance functions.

The successful candidate will be able to demonstrate clear leadership, business management, strategic planning and high-level HR skills and experience.

We have 3 GP Partners, 6 salaried GPs and a full nursing team. We are an approved training practice with 6 GP trainers (including 3 GPs with senior Leadership roles in the London Deanery) and we are active in our PCN and GP Federation.

There are excellent transport links, including Kings Cross-St Pancras and Euston mainline train stations, Farringdon and Angel tube station within a mile of the practice. Free on-site car-parking is also available.

Job description

Job responsibilities

a) Oversee the management of the practice, ensuring that staff achieve their primary responsibilities.

b) Line management of the management team.

c) Oversee the HR processes, including recruitment, relevant checks, contractual issues, appraisals and staff performance.

d) Workforce planning to ensure a good skill mix with staff having the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively.

e) Ensure employment law and legislation is adhered to.

f) Liaise with the Primary Care Network (PCN) and locality commissioners, attend meetings and promote collaborative working.

g) Provide support and advice to the partnership and keep them updated on practice matters.

h) Keep up to date with developments and changes within primary care.

i) Oversee payroll and pensions, liaise with the provider, ensuring accurate reporting and submissions.

j) Work closely with the Partners, accountant and Finance lead on financial planning, budget setting and forecasting.

k) Ensure the practice explores all opportunities to maximise income and reduce expenditure.

l) Ensure Quality and Outcomes Framework (QOF) and commissioned service targets are met.

m) Oversee the significant event and complaints processes, in line with current legislation and guidance.

n) Manage contracts and maintenance for services and equipment.

o) Oversee the review and update of all practice policies and procedures.

p) Lead and coordinate projects within the practice.

q) Oversee the management of the practice IT system, including compliance with the Data Security Protection Toolkit (DSPT).

r) Coordinate the practice development plan and business continuity plan.

s) Deal with the preparation of business cases for new services and provide project management, as required.

t) Ensure on-going CQC compliance.

u) Ensure the practice maintains compliance with its NHSE contractual obligations.

v) Provide advice and support to the staff and the partnership to ensure effective team working.

w) Manage effective communication, both internal and external and ensure the website and other communication platforms are accurate and up to date.

x) Facilitate partners and practice meetings and maintain an up-to-date action plan.

y) Support the management of the Patient Participation Group.

z) Manage estates and facilities, including health and safety aspects and risk assessments.

Person Specification

Experience

Essential
  • Experience of managing multidisciplinary teams
  • Experience for financial management, including forecasting and budgeting
  • Experience of successfully developing and implementing projects
  • Experience of HR processes, workforce planning and development
  • Experience of performance management including appraisals, staff development and disciplinary procedures
Desirable
  • Experience of working in a practice management role
  • Experience of Xero accounting
  • Experience of working in a healthcare setting
  • NHS/primary care and/or general practice experience
  • Relevant health and safety experience

Qualifications

Essential
  • Literacy and numeracy skills sufficient to manage a small to medium sized business
Desirable
  • Leadership and/or management qualification
  • Educated to degree level in healthcare or business
