Antenatal Clerical Officer/Receptionist

Job summary

An exciting opportunity has arisen for a dedicated and enthusiastic individual to join the Antenatal Clerical team located across four sites - Royal Gwent Hospital, Ysbyty Ystrad Fawr, Nevill Hall Hospital and County Hospital.

This role involves both reception and office administrative duties including data inputting, booking appointments, answering patient queries and liaising with various stakeholders including midwives, GPs and consultants.

The successful candidate will contribute to a patient-focused environment by using strong organisational, communication, and administrative skills to support the delivery of safe and effective care

Main duties of the job

Duties will be:

Work collaboratively as a member of the Antenatal Clerical and Reception Team to support the delivery of a comprehensive, efficient, and high-quality service.

Provide an excellent standard of customer service, acting as the first point of contact for patients attending antenatal outpatient clinics and ensuring a welcoming and supportive experience.

Respond to telephone enquiries from patients, healthcare professionals, and other stakeholders in a timely, courteous, and professional manner.

Action new and follow-up appointments, ensuring all bookings and associated outcomes are processed accurately and in line with departmental procedures and timescales.

Maintain accurate, up-to-date patient information across multiple systems, including WPAS, BadgerNet, and Soliton, ensuring data quality and confidentiality standards are upheld.

Liaise effectively with a range of healthcare professionals, including midwives, GPs, consultants, and other internal and external stakeholders, to support the smooth running of the service.

Demonstrate flexibility in meeting service requirements, including providing cross-cover across the four Antenatal sites when required

The ability to speak basic Welsh is desirable for this post and basic Welsh language training will be provided upon appointment. Welsh and/or English speakers are equally welcome to apply.

Qualifications and Knowledge

Essential
  • NVQ level 2 in administration or basic general education, computer literate and numerate
  • Knowledge of IT Systems and applications
  • Understanding of team working ethos
Desirable
  • Basic IT Qualification e.g., EDCL
  • Knowledge of RADIS
  • Knowledge of Clinical Work Station
  • Knowledge of Welsh Patient Administration System (WPAS)
  • Knowledge of Badgernet

Experience

  • Previous clerical experience or similar
