Job summary
The Workforce Medical eSystems Team leads on the implementation, development and ongoing support of digital systems that enable effective medical workforce planning and job planning across the organisation. Working within a fast-paced programme environment, the team supports the delivery of key strategic projects by providing project coordination, system administration, data management and stakeholder engagement. The post holder will play a key role in supporting project delivery, monitoring progress, managing risks and ensuring accurate data and reporting, while working closely with clinical, operational and workforce colleagues to embed sustainable digital solutions across the medical workforce.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
Main duties of the job
Provides administrative support to assist with the planning or delivery of a programme / project to deliver strategic objectives. Supports, facilitates and monitors progress of projects. Identifies risks and reports to the Programme / Project Manager.

Job responsibilities
Provide administrative and project support to assist in the planning and delivery of programmes and projects. Support, facilitate and monitor project progress, ensuring timelines are met. Identify, track and report risks and issues to the Programme/Project Manager. Act as a key point of contact, maintaining effective communication with a wide range of stakeholders. Produce reports, analyse data and support decision-making using various IT systems. Plan and coordinate project activities, including meetings, events and workstream tasks. Maintain project documentation, databases, records and audit trails. Support policy development and service improvement within the project scope. Deliver training and provide guidance to staff on project or system processes. Undertake monitoring, evaluation, audits and surveys to support project outcomes.

Person Specification
Qualifications and Skills
- Level 4 qualification in a relevant subject or equivalent experience
- Knowledge of techniques for planning, monitoring and controlling projects
- Experience of working within a demanding/high intensity admin setting
- Experience of project management or NHS/clinical environment
Skills and Attributes
- Ability to communicate and build relationships with all levels of staff
- Able to plan and prioritise workload in order to meet deadlines and conflicting priorities
- Proficient in use of IT packages
- Advanced IT Skills
