Information Systems Officer
An award-winning educational establishment is seeking an enthusiastic and highly organised Information Systems and Data Officer to join our administrative team on a 12-month fixed term contract. This is an exciting opportunity to play a central role in maintaining the school’s core information systems while supporting the implementation of a brand-new Management Information System (MIS).
This newly created role is critical to ensuring operational continuity during a major systems transition. The successful candidate will help manage the school’s existing MIS while working closely with implementation consultants to onboard and embed a new system. As implementation progresses, the role will develop into long-term ownership of the new MIS, making this an excellent professional development opportunity.
Experience with school MIS platforms such as 3Sys, iSAMS or Veracross is highly desirable. However, applicants with strong IT literacy, experience working in schools, and familiarity with other management information tools will also be considered. Full training and support will be provided throughout the implementation process.
This is a standalone professional systems role, responsible for day-to-day administration, staff support and operational resilience. The postholder will work closely with, and occasionally deputise for, the Administration Manager to ensure smooth operations.
PLEASE NOTE: The School Systems Administrator works approximately 34 weeks per year (term time), plus an additional 8 weeks outside of term time (according to the needs of the school and as directed by the Director of Operations). The normal working hours for the role will be 8:30am-4:30pm Monday to Friday, though you may be called on outside of these times to cover for absent colleagues, attend meetings or training.
KEY RESPONSIBILITIES
Information Systems Operations (Legacy & New MIS)
- Maintain the day-to-day operation of the current MIS throughout the transition period
- Administer pupil, staff and parent records with a high degree of accuracy
- Manage user accounts, permissions and system data structures
- Provide first-line support to staff, troubleshooting system queries and ensuring continuity
Academic Reporting & Assessment Administration
- Coordinate full academic reporting cycles, including setting up and monitoring markbooks
- Maintain narrative report templates and oversee reporting deadlines and validation checks
- Update academic dashboards, including GPA and ranking data
- Manage the import, validation and reporting of standardised testing data
Co-Curricular Administration
- Run the termly co-curricular sign-up and ballot process
- Manage activity capacities, waiting lists and in-term changes
- Process parent requests and support participation tracking and billing verification
- Liaise closely with the Co-Curricular Lead and teaching staff
MIS Implementation Participation
- Work alongside the Senior MIS Consultant during system onboarding
- Participate in testing, migration and configuration activities
- Develop a deep working knowledge of the new MIS in preparation for long-term ownership
- Take increasing responsibility following system go-live
Portal, Systems & Documentation
- Oversee administration of the School Portal and linked systems
- Liaise with external developers where required
- Maintain associated systems such as communications and medical platforms
- Act as documentation librarian, ensuring policies and procedures are clearly recorded and accessible
Operational Support
- Provide cover for the Administration Manager as required, including early-morning teaching cover coordination
- Support urgent operational matters during periods of absence
- Provide occasional reception cover, with time off in lieu or adjusted hours where appropriate
