Part-Time Office Manager & Team Assistant

Location: Bloomsbury, London

Contract: Permanent, Part-Time

Hours: 16 hours per week | Monday–Thursday | 9am–1pm

Working pattern: Office-based

Salary: £15,000–£18,000 per annum, depending on experience

Are you a natural organiser who loves keeping things running smoothly? We’re looking for a confident, proactive and highly organised Part-Time Office Manager & Team Assistant to be a key support presence for our London office and wider team.

This is a varied, hands-on role combining the day-to-day running of the office with administrative support for our senior leadership team. From managing suppliers and facilities to coordinating diaries, onboarding new starters and organising company events, you’ll play an important role in making sure the office and team operate smoothly and efficiently.

KEY RESPONSIBILITIES

Office Management

• Being a welcoming and reliable presence in the office, greeting visitors and managing deliveries.

• Ensuring the office, kitchen and shared spaces are well stocked, organised and running smoothly.

• Ordering stationery, IT equipment, kitchen, cleaning and general office supplies.

• Managing regular office deliveries, including fruit and milk.

• Coordinating suppliers and contractors for maintenance, repairs, air conditioning, printers, coffee machines and other facilities requirements.

• Supporting office security, including access, door fobs, CCTV and locksmith requirements.

• Managing storage areas, office equipment and shared spaces.

• Overseeing the upkeep of indoor and outdoor office plants.

Senior Leadership & Team Support

• Providing diary and travel support to the Chief of Staff, CFO and General Counsel.

• Providing diary and meeting cover for the CEO’s office when the CEO’s Assistant is on leave.

• Coordinating company-wide meetings and Vision Days, including rooms, catering, attendee lists and AV requirements.

• Helping organise company events and socials, including quarterly socials, the Summer Party and Christmas Party.

IT & People Administration

• Coordinating IT requests and tickets with our external IT provider.

• Managing the administrative side of new starter onboarding, including laptops, systems access, office access and IT equipment.

• Welcoming new starters and ensuring they are set up and ready for their first day.

• Coordinating leaver administration, including equipment returns/reallocation and removal from relevant systems.

• Acting as a key point of contact between the company and our external IT provider.

WHAT WE'RE LOOKING FOR

• Previous experience in office management, team assistance, executive support or a similar business support role.

• A proactive, practical approach and the confidence to take ownership of the day-to-day running of an office.

• Experience supporting senior stakeholders with diary management and travel.

• Excellent organisation and attention to detail, with the ability to juggle competing priorities.

• Comfortable dealing directly with suppliers, contractors and external service providers.

• Friendly, approachable and confident communicating with people at all levels.

• Comfortable using Microsoft Office, Monday.com, Slack and other workplace systems, with the ability to pick up new platforms quickly.

• Someone who takes pride in creating an organised, professional and welcoming office environment.
