Purpose of the Role

The AI Automation Coach plays a central role in delivering an exceptional end‐to‐end learner experience for apprentices on automation-focused Level 4 programmes. Drawing on your industry expertise in workflow automation, AI-powered processes and low-code/no-code platforms, you will coach learners to develop the technical capability, problem‐solving mindset, and professional behaviours required to design, build and maintain robust automation solutions.

As a specialist coach, you will convert real-world automation experience into impactful coaching conversations, guided practice, and scenario-based learning. Your coaching will help apprentices build confidence in assessing use‐cases, designing safe and reliable automations, applying responsible AI principles, and implementing solutions that create real commercial value.

You will also collaborate closely with curriculum teams to refine and evolve programme content, ensuring alignment with industry best practice across automation lifecycle management, AI‐assisted workflows, integration patterns, and governance.

The ideal candidate will have hands‐on experience with automation technologies (e.g., Power Automate, Zapier, workflow orchestration tools), strong understanding of AI‐supported processes, and proven ability to coach and inspire diverse learners.

Key Responsibilities

  • Create an inclusive, motivating and supportive coaching environment that enables apprentices to develop confidence and capability in AI‐assisted automation.
  • Coach learners in identifying automation use cases, scoping solutions, defining boundaries, assumptions, risks, and success measures.
  • Support apprentices in mapping and standardising processes (BPMN/UML), identifying exceptions, control points and opportunities to streamline workflows before automation.
  • Guide learners through the automation solution lifecycle — from discovery to build, test, deployment, hypercare, and BAU — emphasising quality gates, documentation and governance.
  • Coach learners in responsible AI, data protection and safe automation practices aligned with organisational and regulatory expectations.
  • Provide personalised, constructive feedback on assignments, builds and runbooks within the Apprentify Virtual Learning Environment.
  • Monitor learner progress, identify gaps, and tailor coaching sessions to strengthen technical skills across triggers, connectors, payloads, branching, monitoring, Application Lifecycle Management and integration patterns.
  • Manage the full apprentice journey, ensuring timely intervention, pastoral support and clear milestone achievement.
  • Maintain accurate tracking, reporting and quality assurance systems for coaching, assessment, compliance, and progress.
  • Uphold Safeguarding and Prevent duties and ensure Health & Safety compliance.
  • Role‐model high standards of ethical practice, professionalism and continuous improvement within AI and automation contexts.

Essential Skills & Experience

  • Hands‐on experience designing and building workflow automations (e.g., Power Automate, Zapier, or similar).
  • Strong understanding of automation principles: triggers, actions, connectors, error handling, conditions, variables, monitoring and integration patterns.
  • Ability to explain complex technical concepts simply and translate them into practical, workplace‐ready actions.
  • Knowledge of automation governance, change control, auditability and risk‐based controls.
  • Understanding of responsible AI, GDPR, and safe digital practices.
  • Confident in process mapping, solution documentation and runbook development.
  • Strong coaching, communication, and facilitation skills (virtual and/or in‐person).
  • Ability to use digital learning platforms confidently.

Desirable

  • Experience delivering apprenticeships or structured training programmes.
  • Familiarity with Power Platform (Power Apps, Dataverse, ALM), API testing with Postman, JSON transformation, or Power BI for automation reporting.
  • Experience with agentic AI integrations or AI‐driven workflow enhancements.
  • Relevant certifications (e.g., Microsoft Power Platform, AI, Automation).
  • Understanding of Ofsted/ESFA requirements for apprenticeship delivery.
