Job Description - The Role

On Behalf of Arup, we are looking for a Senior Business Information Coordinator for an initial 12 weeks contract based in London. It is a hybrid model 3 days from office and 2 days from home.

Purpose of the role:

Arup are seeking a Senior Business Information Coordinator to act as a custodian for the firm's corporate project database, ensuring metadata is accurate, well-organised, and easily accessible. This role plays a key part in supporting Arup's strategic use of data, technology, and AI, and offers opportunities to collaborate across teams requiring information management expertise.

You will maintain taxonomies, edit metadata, train users, and respond to complex enquiries, while also contributing to projects that improve data structures, map to external taxonomies, enhance user interfaces, and automate manual tasks.

What you'll do:

  • Edit and review metadata received via multiple project information submission systems, guaranteeing consistency and data quality standards are met.
  • Maintain and update taxonomies to support the effective organisation and retrieval of project record information, including mapping to external taxonomies and developing new data structures, ensuring the firm's project data remains adaptable and fit for purpose.
  • Assist with bid preparation by retrieving relevant project examples.
  • Respond to complex enquiries regarding Arup's project history and data.
  • Provide user training and ongoing support to colleagues, enhancing their understanding and use of our project data systems.
  • Support improvements in user interfaces for easier database interaction and retrieval of information.
  • Identify manual processes that can be automated and collaborate on implementing automation to improve efficiency.
  • Work collaboratively with other teams in the firm on information management initiatives, sharing expertise and best practice.

The skills you'll need:

  • Experience in content/knowledge/information management authoring and maintenance
  • Experience in maintaining and/or using a taxonomy to perform searches
  • Strong data literacy, with capacity to handle, cleanse and prepare data as required.
  • User-oriented skills and mindset, including interpreting user search needs, gathering user requirements, conceptualising new system features, or providing user training.
  • Experience using LLM tools and critically evaluating outputs.
  • Excellent verbal and written communication skills
  • Must have strong collaboration skills and an ability to work within a team environment.
