Position Overview

We are seeking a highly organised and strategic Project, Delivery and Operations lead to support senior IT leadership and drive operational excellence. This role combines executive support with project portfolio management responsibilities, requiring exceptional presentation skills, stakeholder management expertise, and the ability to translate complex technical information for diverse audiences. You will be instrumental in ensuring smooth project execution, facilitating communication between executives and teams, and maintaining visibility on critical IT initiatives.

About the Role

As an Project and Delivery Lead, you will serve as a critical bridge between IT leadership, project teams, and organisational stakeholders. Your role will encompass both traditional executive support functions and strategic PMO responsibilities. You will manage executive calendars and communications, coordinate high-level meetings, prepare executive dashboards and reports, and ensure alignment on project priorities and outcomes. Your strong presentation and communication skills will be essential in translating technical project information into clear, compelling narratives for C-suite executives and business stakeholders.

Key Responsibilities

PMO & Project Portfolio Management:

● Maintaining and updating project portfolios, dashboards, and status reports that provide real-time visibility into IT initiatives.

● Consolidating project status updates from multiple teams and presenting them in clear, visually compelling formats.

● Tracking project timelines, milestones, deliverables, and risks, escalating critical issues to leadership.

● Coordinating project governance meetings, steering committees, and executive reviews.

● Ensuring consistency in project documentation, templates, and reporting standards across the PMO.

● Supporting resource planning and allocation decisions by providing data-driven insights and analysis.

Stakeholder Management & Communication:

● Serving as a key communicator between IT leadership, project teams, and business stakeholders.

● Preparing and delivering executive presentations, including slide decks, demonstrations, and business case presentations.

● Conducting stakeholder interviews and synthesizing feedback to inform project decisions and priorities.

● Facilitating cross-functional alignment meetings and ensuring all parties understand project objectives and timelines.

● Managing stakeholder expectations by providing regular updates and proactive communication on project progress.

● Acting as a liaison between technical teams and non-technical business leaders, translating complex IT concepts into business language.

Presentation & Reporting:

● Creating professional, data-driven presentations for executive audiences, board meetings, and stakeholder forums.

● Developing executive dashboards using tools like Power BI, Tableau, or similar platforms to visualize project metrics and KPIs.

● Preparing monthly, quarterly, and annual reports on IT project portfolio performance, trends, and recommendations.

● Designing and delivering training sessions or workshops on PMO processes and project management best practices.

● Crafting compelling narratives around IT initiatives that align with business strategy and organizational goals.

Required Skills and Experience

It is essential that you demonstrate the following:

● Experienced in IT Projects and Delivery functions or similar role in an IT or technology-driven environment.

● Exceptional presentation and communication skills, with the ability to articulate complex technical concepts to diverse audiences.

● Proven experience managing executive-level stakeholders and high-profile meetings.

● Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (Jira, Monday.com, Asana, or similar).

● Excellent organisational and time management skills, with the ability to manage multiple priorities and meet tight deadlines.

● Advanced data visualisation and reporting capabilities, preferably with experience in tools like Power BI, Tableau, or Google Data Studio.

● Demonstrated ability to work independently and take initiative while supporting senior leadership.

● Strong written and verbal communication skills with meticulous attention to detail.

● Ability to maintain confidentiality and handle sensitive information with discretion.

● Experience with PMO frameworks, governance structures, and project portfolio management methodologies.

● Proficiency in creating professional business documents, executive summaries, and strategic presentations.

Desirable Qualifications

It is desirable if you can demonstrate the following:

● Project Management experience.

● Experience with agile and waterfall project management methodologies.

● Knowledge of IT service management (ITSM) frameworks such as ITIL.

● Familiarity with IT infrastructure, cloud services, cybersecurity, or software development concepts.

● Experience with business intelligence tools and advanced Excel functions (pivot tables, macros, VLOOKUP).

● Background in stakeholder analysis, change management, and organizational development.

● Experience with CRM systems or enterprise software platforms.

● Presentation design expertise and familiarity with tools like Prezi, Canva, or Adobe Creative Suite.

● Experience in a fast-paced, matrix-driven organizational environment.
