An exciting opportunity has arisen for a proactive and detail-oriented administrator to join our Chemotherapy team as a Band 3 Chemotherapy Scheduler. Following a highly successful 12-month pilot, we are delighted to have secured permanent funding for this vital, fast-paced role.

As the backbone of our outpatient scheduling, you will liaise daily with doctors, nurses, and pharmacy colleagues to ensure our patients receive their treatments smoothly and on time. Main duties of the job

The responsibilities of this role include;

Patient Scheduling & Pathway Coordination

Overseeing booking end-to-end, liaising daily with pharmacy, medical, and nursing teams.

Apply knowledge of treatment times to manage waitlists, optimise capacity, and ensure timely care.

IT Systems & Clinical Administration

Utilise ChemoCare, CareFlow EPR, ICE, and scheduling tools to manage records.

Check ChemoCare for clinical authorisation to prevent delays, updating systems to defer/stop treatments as directed.

Breach Management & Problem Solving

Identify patients at risk of breaching target dates and work with trackers and clinical teams to resolve delays.

Escalate unresolved risks to senior management and adapt swiftly to changing daily demands.

Communication & Patient Experience

Serve as the first point of contact for patient, relative, and staff inquiries via phone and email.

Collaborate effectively with consultants, pharmacists, nurses, and admin teams.

Handle queries and complaints empathetically, escalating to the Operational Support Manager as needed.

Team Support, Data & Improvement

Assist Lead Nurse with service audits

Support quality improvement initiatives and workflow changes within the unit.

Qualifications

Essential
  • GCSE at grade C in Maths and English (or equivalent) or relevant equivalent experience.
  • NVQ 3 in customer care/ business administration or relevant equivalent knowledge/experience

Knowledge and Awareness

Essential
  • Understanding data protection and the need for confidentiality at all times.
  • Awareness of Health and Safety requirement.
  • Knowledge of the Healthcare/organisation environment.
  • Knowledge of windows-based computer packages

Experience

Essential
  • Experience of working with members of the public
  • Experience of working in a Health care setting
  • Experience of direct telephone contact with patients/clients and staff.
  • Experience of appointment/scheduling systems.
  • Experience of working with staff at all levels.

  • Experience of PAS, PMI and outpatient and inpatient module
