Job summary
Beaconsfield Medical Practice is looking to recruit an enthusiastic, professional and patient-focused Medical Receptionist to join our busy and supportive team.
We are a well-established GP practice serving a patient population of just under 14,000 patients in the Preston Park area of Brighton. As a member practice within a successful and established Primary Care Network (PCN), we are committed to delivering high-quality, accessible healthcare to our local community.
The successful candidate will become part of a large multidisciplinary team, working alongside GPs, nurses, pharmacists, healthcare assistants, administrative staff, secretaries and management colleagues.

Main duties of the job
The successful candidate will be responsible for providing a welcoming and efficient reception service while supporting the smooth day-to-day running of the practice.
Key responsibilities include:
- Acting as the first point of contact for patients, visitors, and healthcare professionals.
- Managing incoming telephone calls and patient enquiries.
- Supporting the booking and management of appointments through our System Connect total triage model.
- Processing appointment requests and directing patients to the most appropriate service.
- Supporting new patients with registrations
- Assisting with maintaining accurate patient records.
- Processing prescriptions and supporting administrative workflows where appropriate.
- Handling confidential information in accordance with GDPR and NHS information governance requirements.
- Working collaboratively with colleagues to provide an efficient and effective patient service.

Job responsibilities
Main Duties
- To greet patients at the front desk (Ground Floor, 3rd & 4th Floors) and manage all queries effectively whilst maintaining patient confidentiality.
- Manage all patient enquiries courteously via telephone and in person
- Support patients to access & complete the online appointment request forms for GP appointments
- Support triaging GP to process GP appointment requests efficiently signposting patient to the most appropriate appointment
- Book appointments for Practice nurse, HCAs and Phlebotomist
- Process any administrative tasks associated with Role
- Action incoming tasks via the clinical system
- Support new patients to register with the practice
- Process repeat prescription requests in accordance with Practice guidelines
- Monitor incoming emails to the practice email account
- Ensure that all messages/information is correctly relayed and in a timely manner
- Clear rooms after surgeries
- Check waiting area tidy
- Maintain confidentiality at all times
- Assist in maintaining high levels of infection control
- To have a thorough knowledge of all Practice procedures/adhere to protocol
- Maintain up to date knowledge of other patient services i.e. extended access, pharmacy first and urgent treatment centres
- Maintain up to date knowledge of NHS App and other patient online services
Other Duties
Provide holiday/sickness cover for reception
- Attend training courses and meetings as required to ensure you have the skills and information to carry out the role effectively
- Assist Admin team with Quality Outcome Framework (QOF)
Person Specification
Experience
- Excellent communication and interpersonal skills.
- Strong customer service skills.
- Good IT and keyboard skills.
- Ability to work effectively in a busy environment.
- Ability to remain calm under pressure and manage competing priorities.
- Good organisational skills and attention to detail.
- Ability to work as part of a team.
- Understanding the importance of confidentiality.
- We are looking for someone who is friendly, adaptable and committed to delivering excellent service to our patients. Full training will be provided, and previous NHS experience is not essential for the right candidate.
- Previous experience working in a GP practice or NHS setting.
- Experience using SystmOne.
- Previous reception, administration, or customer service experience.
- Knowledge of GP appointment systems and triage processes.
