Executive Assistant - Maternity Cover

We're hiring an Executive Assistant to join the team for an initial 14 month fixed term contract (maternity cover). The Executive Assistant to the Chief Financial Officer (CFO) provides high‐level administrative, organisational, and strategic support to ensure the effective operation of the Finance function.

Acting as a trusted partner, the EA manages sensitive information, co‐ordinates key activities, and enables the CFO to focus on strategic priorities

Key Responsibilities (to include but not limited to):

  • Manage the CFO’s inbox, prioritising communications and drafting responses where appropriate.
  • Manage the CFO’s complex calendar, prioritising meetings and ensuring optimal time management.
  • Act as a gatekeeper, managing communications and stakeholder access to the CFO.
  • Build strong relationships with internal and external stakeholders to support the CFO’s objectives.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Coordinate domestic and international travel arrangements, including itineraries and logistics.
  • Coordinate meetings, both virtual via Microsoft Teams and face‐to‐face.
  • Manage internal and external meeting room bookings (with support from the office administrators).
  • Take accurate, high-quality minutes, capturing key decisions and actions where applicable and track and follow up on action items to ensure timely completion.
  • Prepare briefing materials, presentations, and documentation to support meetings and decision making where applicable.
  • Be an active part of the Finance Leadership team meetings and support the wider Finance function.
  • Manage and process the CFO’s expenses, ensuring timely submission and compliance with company policies.
  • Plan and coordinate internal and external events on behalf of the CFO (e.g. leadership offsites, team events).
  • Managing logistics including venues, catering, materials, and attendee communications.
  • Supporting the CEO’s Senior EA where required and be a supportive member of the EA/PA team.

Skills/Experience

  • Experience as an Executive Assistant at C-Suite level.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Office (especially Outlook, Teams, PowerPoint).
  • Exceptional attention to detail and accuracy.
  • Proactive, with the ability to anticipate needs and solve problems independently.
  • Calm under pressure, and able to manage competing priorities.
  • Strong interpersonal skills with the ability to build relationships.
  • Flexible and adaptable in a fast-paced environment.
  • Experience within a finance-led or corporate environment.
