GP Surgery GP Receptionist / Care Navigator
Job summary
We are based over two sites, and the successful candidate will be expected to work across both surgeries. Our main surgery is: 54 Benhill Avenue, Sutton, Surrey, SM14EB and our branch surgery is: 10 Hardegray Close, Sutton, Surrey, SM2 5FQ. We are an enthusiastic, high performing, high energy practice that aims to provide the best healthcare for our patients and their families. We are also a member of Cheam and South Sutton Primary Care Network (PCN).
The role of receptionist requires a self-motivated, disciplined individual to assist the patients with accessing services within the practice and other NHS services.
The successful candidate will be working as a key member of the current practice team. They require previous experience in a fast-paced customer service roles; have excellent IT Skills, particularly knowledge of Microsoft Office systems.
Desirable skills: Knowledge of EMIS Web and Docman 10.
THE HOURS REQUIRED ARE AS FOLLOWS
Monday 07.45-13.00, Thursday 07.45-13.00, Friday 07.45-18.30

Main duties of the job
The role involves but not limited to the following;
- Telephone, signposting and booking of patients
- Consulting with members of practice team
- Processing and handling prescriptions, emails and other external requests, working with both clinicians, pharmacists, and outside agencies as appropriate.
- Registrations of new patients, computer data entry and medical records.
- Process patients change of address, computer data and medical records (have knowledge of practice area).
- Process repeat prescription requests in accordance with practice guidelines.
- Using a range of computer software including EMIS Web and Docman 10, Label Trace, Accurx, GPTN

We are a 12000 patient, 6 partner PMS based practice based under SWL ICB. Last CQC inspection Oct 2016 - Good in all areas. We are a high achieving, high performing, training practice. We have a large clinical team consisting of (but not limited to) Partners, Salaried GPs, Nurses, Nursing Associate, HCAs, ARRS staffing and Phlebotomists. Our administration team is lead by our Practice Manager with support of a Non-Clinical Manager, Finance Manager and strong Administration & Reception team.

Job summary:
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person, via the telephone or over email.
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
- Take a history from a patient, carer or relative and effectively signpost the patient to the correct clinician or service.
- Liaise and work closely with the practice team including external sources that support the practice.
- Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
- Promote and facilitate appropriate use of practice and NHS services.
- Resolve complaints at the point of need and escalate to relevant person if appropriate.
- Assist clinical and support staff with the smooth running of the reception area and ensure all assigned administrative tasks are completed.
- To undertake any additional duties as requested by the Practice Management Team
Job responsibilities:
Administration
- To have a thorough knowledge of all practice procedures.
- To work in accordance of written protocols
- Pulling/filing notes for surgeries and as necessary
- Docman scanning of documentation into patients medical records
- Photocopy as requested
- Daily use of NHS Email
- Administration of Practice online consultation platform
Reception
- Telephone, signposting and booking of patients
- Receiving patients, consulting with members of practice team
- Processing and handling prescriptions and requests, working with both clinicians, pharmacists and outside agencies as appropriate.
- Be able to cover all reception positions as necessary on a rotational basis
Appointments
- Process appointment requests for today and future appointments from patients by telephone and in person.
- Assist with dealing with home visit requests and process Pharmacy Referrals
Computer
- Registrations of new patients, computer data entry and medical records.
- Process patients change of address, computer data and medical records (have knowledge of practice area.
- Process repeat prescription request in accordance with practice guidelines.

Telephone
- Have working knowledge of the telephone system, during and after hours.
Other Tasks
- Clear rooms after surgeries, including checking that there is no patient identifiable data left unlocked.
- Ensure building security, complete surveillance and responsibility for opening and closing of the building and have thorough knowledge of doors/windows/alarm.
- Make coffee/tea for colleagues and doctors.
- Ensure the staff room is clean and tidy at the end of the day and dishwasher is loaded and put on.
- Receive and distribute all incoming mail, paper and electronic.
- Accept deliveries and orders and put away.
- Any other tasks allocated by managers.
Essential Qualifications: GCSE grade C or above in English & Maths (or equivalent) and Experience in a customer service role
Desirable: Experience of working in Primary Care, Experience of working in a GP Practice, Experience of EMIS Web & Docman 10
