Microsoft 365 Copilot Benefits and Adoption Lead
Job summary
Are you passionate about helping people get real value from digital tools? We are looking for a Microsoft 365 Copilot Benefits and Adoption Lead to shape safe, consistent and evidence-led adoption across Berkshire Healthcare. You will work with staff, services, Finance, governance and senior leaders to understand how Copilot is being used, measure its impact and turn learning into practical recommendations for future investment and rollout.
This Band 7 role offers the opportunity to lead a high-profile area of organisational change, influence Trust-wide decisions and help services reduce avoidable administration, improve productivity and develop better ways of working.
Main duties of the job
In this role you will:
- Engage with Copilot users through interviews, workshops, surveys and service reviews to understand benefits, barriers and support needs.
- Develop and maintain the Trust's Copilot benefits framework and benefits register, using evidence to assess productivity, staff experience, service improvement and financial value.
- Identify high-value use cases, adoption gaps and practical actions that will improve confidence and responsible use.
- Lead the Copilot adoption and benefits workstream, coordinating priorities, risks, dependencies and delivery across services and specialist teams.
- Produce case studies, reports, business cases, options appraisals and recommendations for governance groups and senior leaders.
- Work with IT, Digital Skills, Finance, BI, Information Governance, Cyber Security and Clinical Safety to align licensing, training, support and governance with service needs.
- Champion safe, fair, accessible and value-led use of Microsoft 365 Copilot across the Trust.

Job responsibilities
The 'must haves' for this role:
1. Experience of leading complex change, digital adoption, transformation or service improvement across organisational boundaries in a complex organisation.
2. Experience of evaluating change, measuring impact, developing business cases and using evidence to explain benefits and make balanced recommendations.
3. Working knowledge of Microsoft 365, Microsoft 365 Copilot or similar AI-enabled productivity tools, including awareness of responsible AI, data protection, information governance and cyber security risks.
4. Excellent communication, facilitation, analytical and influencing skills, with the ability to engage people from frontline services through to senior leaders and explain complex information clearly.

Person Specification
Education, qualifications or training
- Educated to degree level in a subject relevant to the post or equivalent experience.
- Training or equivalent experience in change management, service improvement, digital transformation, benefits realisation or supporting services to work in new ways.
- Working knowledge of Microsoft 365, Microsoft 365 Copilot or similar AI-enabled productivity tools.
- Project or programme management qualification such as PRINCE2, MSP, Agile or equivalent experience
- Qualification in benefits management, change management, improvement methods or organisational change.
Continuous Professional Development
- Evidence of continuing professional development relevant to digital transformation, AI adoption, service improvement or benefits realisation
Previous Experience
- Experience of leading complex change, adoption, digital transformation or service improvement across organisational boundaries in a complex organisation
- Experience of engaging staff groups, using feedback to improve services and influencing managers at different levels.
- Experience of evaluating change, measuring impact, developing business cases, producing recommendations and explaining benefits clearly using evidence.
- Experience of supporting adoption of Microsoft 365, Co-pilot, automation, AI-enabled tools or digital workplace solutions.
- Experience of working in NHS, health, public sector or similarly complex regulated environments.
Knowledge, skills and abilities
- Excellent interpersonal, facilitation and communication skills, with the ability to engage staff from frontline services through to senior leaders.
- Ability to explain complex digital, organisational and financial information in clear, practical and non-technical language
- Strong analytical skills, with the ability to combine feedback, usage data, service insight and financial assumptions into balanced recommendations.
- Ability to assess whether evidence is representative, identify gaps or limitations in findings, and present balanced recommendations where evidence is incomplete
- Ability to influence, negotiate and build agreement across professional, organisational and technical boundaries.
- Understanding of how to help staff and services adopt digital tools, change working practices and build confidence.
- Awareness of responsible AI, data protection, information governance, cyber security, information oversharing and access risks, with the ability to work with specialists to support safe use of digital tools.
- Ability to plan and deliver work across multiple services, manage competing priorities and meet deadlines.
- Confidence, enthusiasm and commitment to finding new ways of working which improve value, service quality and staff experience.
- Ability to produce clear reports, business cases, presentations and briefing material for governance and decision-making forums.
- Understanding of NHS productivity, efficiency, cost improvement, value-for-money priorities and the distinction between cash-releasing savings, avoided costs, productivity gains and qualitative benefits.
