Job summary
We are looking for a friendly, organised, and professional Part-Time GP Receptionist to join our busy and supportive practice team. As the first point of contact for our patients, you will play a vital role in creating a welcoming experience and helping our practice run smoothly.

The contract will be for 17 hours per week spread over three shifts:- Monday 1.30pm - 6.30pm, Thursday 7.45am - 1.45pm and Friday 7.45am - 1.45pm. The postholder will be required to cover colleagues annual leave and sick leave.
Main duties of the job
The successful candidate will provide a professional and welcoming reception and administrative service within our GP practice. Duties include managing patient appointments, handling telephone and face-to-face enquiries, processing administrative tasks, and supporting the smooth day-to-day running of the practice. You will work regularly with EMIS Web, Docman 10 and AccuRx to manage patient records, clinical correspondence, and communication with patients and clinicians. The role requires excellent organisational and communication skills, attention to detail, and the ability to work efficiently in a busy healthcare environment while maintaining strict patient confidentiality.

Our multidisciplinary team consists of six GPs, two practice nurses, a Clinical Pharmacist, an Advanced Clinical Practitioner, a Physician Associate and a Phlebotomist. In addition to our core GP services, we host a range of community clinics, including Paediatric Consultant, Dermatology, and ENT clinics, providing patients with convenient access to specialist care within the practice. Job Purpose
To provide a professional, efficient, and friendly reception and administrative service to patients, clinicians, and colleagues. As the first point of contact for the practice, the GP Receptionist plays a key role in delivering excellent patient care and ensuring the smooth day-to-day running of the surgery.
Main Duties and ResponsibilitiesReception Duties- Welcome patients and visitors in a courteous and professional manner.
- Deal with patient enquiries both face-to-face and over the telephone.
- Book, amend, and cancel patient appointments in accordance with practice procedures.
- Signpost patients to the most appropriate healthcare professional or service when required.
- Manage the patient waiting area and ensure confidentiality is maintained at all times.
- Handle patient registrations and update patient records as necessary.
- Process incoming and outgoing correspondence promptly and accurately.
- Scan, code, and file documents using Docman 10.
- Support clinicians and the wider practice team with administrative tasks.
- Prepare and distribute letters, forms, and other documentation as required.
- Maintain accurate electronic patient records.
- Use EMIS Web to manage appointments, patient records, and administrative tasks.
- Use AccuRx to communicate with patients and support clinical workflows.
- Process clinical correspondence and documentation in line with practice protocols.
- Ensure information is entered accurately and in a timely manner.
- Answer telephone calls professionally and efficiently.
- Respond appropriately to patient requests and queries.
- Direct calls to the relevant members of the practice team when necessary.
- Manage high volumes of calls during busy periods whilst maintaining excellent customer service.
- Maintain strict patient confidentiality at all times.
- Adhere to GDPR, NHS Confidentiality Guidelines, and Practice Policies.
- Ensure all patient information is handled securely and appropriately.

Experience
