Senior Admin Assistant

Job summary

To undertake and co-ordinate administrative / clerical duties according to Fertility Centre procedures, acting as first point of contact for relevant patients and members of the public contacting, or visiting the department, welcoming them with an understanding and sympathetic attitude.

To provide a range of support services to the Fertility Centre encompassing administrative and clerical duties to aid the smooth running of the unit.

To play a key part in the Fertility Centre team in providing high quality care to all patients accessing our services.

Main duties of the job

Manage referrals into the Fertility Centre, using our electronic systems (EPIC and IDEAS)

Process funding status from application through to communicating this to our patients - using relevant ICB criteria and appropriate IT systems.

Communicating with patients via a number of systems; email, IDEAS, Doctor Doctor, Telephone.

Scheduling appointments including canceling and rescheduling as and when required.

Payments - Raising invoices using our IDEAS (training will be provided)

Qualifications

Essential
  • Good standard of general education

Knowledge

Essential
  • Clerical experience in a busy Clinical environment
  • In-depth experience of communication with the general public / patients
  • Able to demonstrate sensitive and empathetic approach to patients
  • Willing and able to undertake additional training as required
Desirable
  • Previous experience of working with Fertility patients
  • Knowledge of The Human Fertilisation and Embryology Authority and the associated clerical / administrative requirements
  • Experience of using an electronic patient record / Patient Administration system
  • Experience of an electronic patient consent package

ANALYTICAL AND JUDGEMENT SKILLS

Essential
  • Basic literacy and numeracy skills
  • Ability to analyse working environment, to resolve or escalate as appropriate.
  • Ability to assess behaviors of service users and escalate to supervisory staff as needed.
