Job summary
Bolton Community Practice is looking to appoint an organised and experienced Medical Administrator.We are a busy GP surgery with four sites across Bolton delivering GP services to a population of over 16,000 patients. We are an EMIS Web practice. Applicants must be flexible to cover annual leave and sickness when necessary.
The vacancy is for up to full time (37.5 hours) between the hours of Monday-Friday, 8am-6.30pm.The successful candidates will be required to work Saturday mornings 09:00 - 13:00 on a rota basis from our Astley-Dale branch at Waters Meeting Health Centre
Main duties of the job
The Medical Administator will be responsible for the clinical coding of relevant information into patients electronic healthcare records on the clinical system, adhering to the standard SNOMED CT codes and relevant organisational policiesand supporting the referrals team with patient referrals to secondary care.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies. Furthermore, duties can also include supporting the administration and receptionist teams as required.

Job responsibilities
The following are the core responsibilities of the Medical Administrator in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
- Accurately clinically code data into the patient record on the clinical system
- Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action
- Inputting and extracting data as required to support practice reports, audits and to capitalise upon both patient safety and QOF income
- Scanning patient related documentation and attaching scanned documents to patients healthcare records
- Highlight all timely actions, changes to patient care and management to the relevant clinician
f. Type letters, reports and associated documentation as required and within the specified timescales as appropriate for the referral
g. Liaise with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
h. Manage all enquiries in an effective manner
i. Maintain an accurate referrals database
j. Process referrals using the electronic referral system (ERS)
k. Manage all administrative queries as necessary
l. Conduct clinical system searches as requested
- File and store records as required
- Photocopy documentation as required
- Action all incoming correspondence, emails and mail in a timely manner
- Input data into patients healthcare records as necessary
- Answer incoming telephone calls, transferring calls or dealing with the callers request appropriately
- Assist with total triage administration
- Conduct system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Support all clinical staff with general administrative tasks as requested
- Undertake a broad spectrum of administrative duties commensurate with the role
- Be an integral part of the general practice team
- Act as a chaperone as required
- Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children
- Support in the delivery of enhanced services and other service requirements
- Undertake all mandatory training and induction programmes
- Contribute to and embrace the spectrum of clinical governance
- Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed

Experience
- Experience of working with the general public
- Experience of administrative duties
- Experience of working in a healthcare setting as a medical Administrator
- Experience in using EMIS Web
- Experience in using Docman

- Competent in the use of MS Office and Outlook
- Problem solver with the ability to process information accurately and effectively, interpreting data as required

Qualifications
- A good standard of education, with an expectation of having both GCSE Maths and English at Grade C or above, or Functional Skills Level 2 in Maths and English
- Typing qualification, i.e., OCR or RSA Diploma
- NVQ Level 2 in Health and Social Care
- Level 3 in Medical Terminology
