We have an exciting opportunity for a highly motivated and innovative person to join our dynamic and multi award winning e-rostering and e-job planning team. This is a key role which supports the Trust wide operational performance, management and further development of the electronic rostering and job planning systems. The postholder will provide an efficient and effective high quality data administration service supporting the use and maintenance of the electronic systems throughout the trust including integration with the temporary staffing system.

This role is a specialised, confidential and sometimes challenging role. The postholder will need good all round administration skills, ability to communicate at all levels, and deal appropriately with sometimes sensitive and confidential situations. Key to this role is the ability to support the development, implementation and maintenance of effective and robust systems and process.

Main duties of the job

The post holder will support the day-to-day operational requirements of the e-Rostering and e-Job Planning systems as a system administrator.

Building rotas ensuring that they comply with staffing budgets and are produced in a timely and efficient manner.

The post holder will provide efficient and customer-focused support to all e-Rostering and e-Job Planning users, responding to calls and email requests for assistance, as well as maintaining the integrity of the system on a day-to-day basis.

The post holder will be responsible for creating and maintaining pay elements across all staffing groups, liaising with Payroll when necessary.

The post holder will carry out audits of the E-Rostering system ensuring that the system is used appropriately, and staff are paid correctly.

The post holder will assist with training and provide one to one or group training on the system functionality to improve rostering efficiencies and best practice.

The post holder will be responsible for collecting and analysing complex data including shift patterns and hours to develop, test, deploy and support user end requirements.

JOB DIMENSIONS

The post holder will be required to prioritise own workload, considering the timetable in relation to roster publication and payroll finalisation dates to ensure that issues related to rostering and pay are dealt with in a timely and effective way.

Act as first level support for access and software issues, diagnosing and resolving day to day system queries, errors or malfunctions independently escalating issues where necessary.

Working on own initiative, act as lead contact in their allocated area to support system development and business as usual activity.

PRIMARY DUTIES & AREAS OF RESPONSIBILITY

Responsible for the maintenance and updating of an effective system to evaluate and ensure that both ESR (Electronic Staff Records) and MAPS Healthroster databases are synchronised using the ESR Gateway tool in MAPS Healthroster in conjunction with ESR.

Be an expert user of the Workforce systems, ensuring a good level of understanding and accuracy to actively promote E-Job Planning and E-Rostering throughout the Trust.

Maintain accurate records of staff training.

Respond to user enquiries providing ongoing support to managers and users.

Provide system administration ensuring accurate maintenance of data within the systems, allocation of appropriate user responsibilities and troubleshooting of issues/errors.

Responsible for the production and maintenance of project protocols and standard operating procedures as developed by the System Manager.

Assist with the management and support of the increasing user base for the system, including the provision of appropriate new starter and upgrade training and the writing/updating of user manuals for both clinical and other operational staff.

Liaise with the IT department to ensure that the system is available and accessible to all users and to liaise where necessary with the Allocate help desks.

To support and develop relationships with Finance, Workforce information team and the Nurse Bank team, and Payroll.

Support the design and upkeep of an effective system to evaluate and measure system software benefits.

Collect and prepare activity data as required including efficiency indicators on roster production, utilisation of staff and performance of the software to inform Trust Key Performance Indicators.

Provide data on a planned and ad hoc basis as required by Trust managerial teams.

To participate in analysis and audit of information produced by Healthroster.

Work on own initiative, escalating all issues of risk or concern.

Person Specification

Qualifications

Essential
  • Educated to degree level or equivalent
  • Educated to GCSE standard or equivalent
  • Excellent key board skills
Desirable
  • High award ECDL or equivalent
  • Teaching or training/assessors qualification
  • Project management training

Experience

Essential
  • Substantial admin experience using databases & spreadsheets
  • Experience of training other members of professional and support staff
  • Ability to use computers and standard programmes such as e-mail, MS Word, Excel and Powerpoint.
  • Experience of working with varying levels of staff
  • Experience of using electronic rostering systems
