Are you passionate about supporting digital transformation in healthcare? Bradford Teaching Hospitals NHS Foundation Trust is seeking a proactive and organisedProject Support Officer to join our Digital, Data and Technology department. Based at Bradford Royal Infirmary, you'll play a key role in supporting the team to delivering large-scale change and training projects--including the implementation of new systems and the optimisation of our Electronic Patient Record (EPR).

As part of a dynamic team, you'll work closely with clinical and operational colleagues, providing essential project and administrative support to drive improvements in clinical and operational workflows. Main duties of the job

Main Duties:

  • Provide project and administrative support to the Digital Change & Optimisation team, assisting with the delivery of large-scale change and training projects.
  • Support the implementation and optimisation of new IT systems, including the Trust's Electronic Patient Record (EPR).
  • Maintain and update project plans, documentation, and reports, ensuring all records are accurate and up to date.
  • Coordinate and manage training schedules and bookings for EPR training.
  • Organise meetings, prepare agendas, and take minutes.
  • Liaise with clinical, operational, and management colleagues across Bradford Teaching Hospitals NHS Foundation Trust and Airedale General Hospital.
  • Assist with resource coordination and ensure effective communication between project teams.
  • Ensure compliance with Trust policies, including Health & Safety, Equality & Diversity, Patient Confidentiality, and Infection Prevention & Control.
  • Support the team in gathering information for project reporting and resolving day-to-day project queries.
  • Work flexibly across Trust sites and remotely as required.

Job responsibilities

PRIMARY DUTIES & AREAS OF RESPONSIBILITY

Support Digital Change and Optimisation colleagues

Support with the administration of project documentation

Support the team to secure resources required for project delivery

Update and maintain project plans, stage plans, contingency plans, and exception plans for projects and workstreams as directed by the Project Manager

Liaise with user departments to resolve day to day project queries

Keep project documentation up to date as directed by the Project Manager

Provide administration and gathering of information for project reporting

Organise meetings

Take minutes

Responsible for working closely with other project managers to ensure appropriate and effective co-operative working between projects

Coordination and management of training schedules and bookings

Person Specification

Qualifications

Essential
  • Educated to diploma level or equivalent

Experience

Essential
  • Experience in projects administration, including management of project documents
  • Experience supporting meetings including preparation of agendas, collation of reports and minute taking
  • Experience of diary management
  • Experience in working as part of a team
  • Significant experience of providing secretarial and administrative support, including: oPrioritisation of work and delivery to challenging deadlines. oEffective and efficient electronic diary management. oHandling various telephone enquiries. oManaging and developing office systems.

Skills

Essential
  • Experience of MS Word, Excel and PowerPoint
  • Good written and oral communications skills
  • Ability to prioritise workload and meet deadlines
  • Good planning skills and excellent attention to detail required
  • Ability to prepare, take comprehensive notes and update documentation in different formats
  • Proven ability to meet deadlines and work under pressure
  • Excellent typing skills

Knowledge

Essential
  • Understanding of Information Governance and Confidentiality

  • Previous NHS Experience
