We are looking for an enthusiastic, resilient, motivated and proactively driven individual to fulfil the role of an administrator within the e-Rostering and e-Job Planning team supporting the wider team. This role is a specialised, confidential and sometimes challenging role. The postholder will need good all round administration skills, ability to communicate at all levels, and deal appropriately with sometimes sensitive and confidential situations.

We are seeking someone with previous administration experience, with the skills to provide high level support to the whole team. Key to this role is the ability to support the development, implementation and maintenance of effective and robust systems and process.

Main duties of the job

The post holder will be a key member of the e-Rostering & e-Job Planning Team and will support the service by undertaking all associated administration processes for systems and the wider team.

The post holder will be responsible for providing clerical and administrative support to enhance the efficient maintenance of workforce systems. The postholder will be required to demonstrate a high level of attention to detail, interpersonal skills and ability to adapt and prioritise tasks to align with service needs.

Job description

Job responsibilities

Provide first level support via phone and email for system access and software issues escalating where necessary to the appropriate system administrator.

Provide system administration ensuring accurate maintenance of data within the system, allocation of appropriate user responsibilities and troubleshooting of issues/errors.

Responsible for the preparation and distribution of reports on a weekly/monthly basis..

To carry out regular audits of the systems to ensure that it is used appropriately and that information is up to date.

Experience

Essential
  • Experience to prioritise and manage a diverse workload
Desirable
  • Previous NHS experience
  • Experience of working in a busy office environment
  • Experience of using Electronic rostering systems
  • Ability to use computers and standard programmes such as email, MS Word, Excel and Powerpoint
  • Experience of system administration

Skills

Essential
  • Literacy and Numeracy
  • Attention to detail
Desirable
  • To have excellent Excel, Word & Powerpoint skills, ability to create pivot tables and graphs.
  • Use of electronic systems and diaries

Knowledge

Essential
  • Understanding of Information Governance and Confidentiality
  • Willingness to undertake further training including IT training to enhance skills and knowledge base

Qualifications

Essential
  • Educated to GCSE standard or equivalent
Desirable
  • Excellent key board skills
  • Level 3 in Business & Administration or equivalent knowledge and previous experience in other business administration of the NHS
  • Key skills level 2 in literacy and numeracy or equivalent knowledge and experience
  • ECDL/CLAIT
