Job summary
The Paediatric Haematology, Oncology & BMT / Adult Bone Marrow Transplant & Immune Effector Cell Therapy Quality and Governance Programme operates across the Division of Specialised Services and the Division of Women's and Children's to maintain the quality and safety standards required by our accreditation and regulatory bodies.
The post holder will be responsible for providing comprehensive administrative support across the Programme. Working across two divisions, this post requires exceptional organisational and IT skills, a keen eye for detail and a proactive, driven approach. The post holder will liaise with a wide range of staff groups, within UHBW and at NHS Blood and Transplant (NHSBT), in order to coordinate well-established quality and governance meetings, maintain a large controlled document portfolio, and provide support for a range of quality and compliance activities.
This role would suit a self-motivated, process-driven individual who enjoys organising and maintaining information and records, who takes pride in the accuracy and consistency of their work, and who is comfortable working both independently and collaboratively to support efficient business operations.Main duties of the job
Meeting Coordination
- Coordinate and support twice monthly quality management meetings in Paediatrics and Adults, thequarterly joint meeting with members of NHSBT and other meetings which may be necessary to theProgramme:
Document Control
- Maintain the current portfolio of standard operating procedures (SOPs), clinical guidelines,protocols, drug prescription labels and other controlled documents, using the Quality andGovernance Programme's Quality Management System (QMS) and established cloud-basedreview procedures, to the required review schedule
- Support and facilitate the creation of new departmental policies, procedures, guidelines and othercritical documents
Quality Management
- Use Trust systems and platforms integrated into the Quality Management programmeeffectively, efficiently and accurately
- Develop and maintain an awareness of JACIE, HTA and NHS England quality standards andunderstand how these relate to day-to-day processes and procedures
- Develop and maintain an understanding of Stem Cell Transplant, CAR-T Cell Therapy,Haematology and Paediatric Oncology pathways, treatments, interventions and terminology
- Develop and maintain a specialised knowledge of Quality Management principles, processes andbest practice

Person Specification
Knowledge and Experience
- Proven experience of delivering a wide range of administrative tasks to a high standard in a patient/service focussed environment
- Experience of the delivery of objectives within a constantly changing environment
- Experience of arranging and minuting meetings and events
- Experience of working to processes and problem solving within a Multidisciplinary team
- Experience of using Excel-based databases
- Experience of conducting or supporting audits
- Quality Management experience, or good knowledge of Stem Cell Transplant, CAR-T Cell Therapy, Haematology and Paediatric Oncology pathways, treatments, interventions and terminology
- Previous NHS work experience in admin and clerical
- Experience of working with NHS systems including Careflow, Datix, AMaT, My Staff, Ideagen Quality Management
- Knowledge of JACIE, HTA and NHSE Paediatric Oncology Service Specification Requirements
Skills and Abilities
- Excellent IT skills from significant experience of using Microsoft Office 365 applications (Teams, Sharepoint, Outlook, Excel, Word and Powerpoint) and other office-based systems
- Standard keyboard skills with a good typing speed
- Good interpersonal and communication skills, with the ability to network and build relationships with colleagues of all levels
- Able to follow, interpret and formulate responses to complex information, using written and verbal communication
- Demonstrable ability to use effective, persuasive communication and influencing skills to support and motivate colleagues in completing activities accurately and within agreed deadlines, adapting approach to reflect changing priorities and requirements
- Excellent organisational skills with the ability to track, prioritise and switch between a variety of tasks, managing interruptions

Qualifications and Training

- Educated to A-Level (or equivalent) level
- Evidence of continued role development
