GP Receptionist / Administrator

Job summary

We are looking to appoint a Receptionist/Administrator to join our GP practice team. You will be the first point of contact for patients, liaising with clinical and admin staff together with patients, as well as carrying out general office management tasks. You will have a good telephone manner and organisational skills. The successful person will be required to be flexible with hours between 07:45 and 18:30 Monday to Friday. Previous work in a similar role is preferred.

Main duties of the job

  • Answering medication queries from patients, staff, pharmacies and care homes.
  • Process prescriptions
  • Forward medication related queries to an appropriate Health Care Professional in a timely manner
  • Check tasks regularly and action appropriately
  • Review clinical letters and workflow as appropriate
  • Welcome patients warmly and provide exceptional customer service.
  • Handle incoming calls efficiently and direct them appropriately.
  • Schedule appointments, manage patient registrations, and process medical forms.
  • Maintain accurate patient records and ensure data confidentiality.
  • Assist with administrative tasks
  • Contribute to a positive and supportive team environment.
  • Processing prescriptions, letters, referrals, and clinical documents.
  • Ensuring confidentiality and professionalism in all aspects of the role.

About us

We are a busy GP practice with 5500 patients. There are three GP partners, one Advanced Clinical Practitioner, two practice nurses and a team of reception staff.

Job responsibilities

We are looking to appoint a Receptionist to join our busy GP practices. You will liaise with clinical and admin staff together with patients, as well as carrying out general office management tasks. You will have a good telephone manner and experience of booking appointments proving strong organisational skills.

You will manage general administrative duties within the practices and work with our established processes, policies and procedures to provide a comprehensive high quality service and deal efficiently and courteously with patient enquiries and bookings.

You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy, demanding environment with a range of people and professions.

Your regular duties in this role will be dealing with telephone, face to face and electronic enquiries, booking and/or amending patient appointments and home visits, contacting patients to provide information from the clinical team and assisting patients to access our services and those available in the wider community.

IT skills are essential, as you will be expected to work on the clinical system - SystmOne - and manage incoming emails

  • Keeping work and general areas clean and tidy, and using appropriate infection control procedures to keep work areas hygienic and safe from contamination.

  • Correct personal use of Personal Protective Equipment PPE and ensuring correct use of PPE by others, advising on appropriate circumstances for use by clinicians, staff and patients.

  • Using personal security systems within the workplace according to Practice guidelines

  • Making effective use of training to update knowledge and skills

  • Demonstrate safeguarding and promoting the welfare of children and adults at risk.
