We are seeking a highly organised and systems-oriented Compliance Coordinator to join our CBRE team at in London
This is a foundational role where you will lead the implementation and rollout of the ZetaSafe compliance platform across our entire estate. Once the system is live, you will transition into the role of System Administrator, managing the platform to ensure that our water safety and estate compliance data is accurate, accessible, and audit-ready.
You will act as the bridge between technical engineering field data and hospital-wide compliance governance.

Once the system is live, you will transition into the role of System Administrator, managing the platform to ensure that our water safety and estate compliance data is accurate, accessible, and audit-ready.

Key Responsibilities
Zetasafe Implementation Project:
- System Setup & Configuration: Lead the initial project to stand up the ZetaSafe platform, mapping the entire UCLH estate asset register into the system.
- Process Mapping: Configure digital workflows, scheduling, and alert protocols to align strictly with our Water Management Plan (WMP) and HTM 04-01 standards.
- Rollout & Training: Direct the migration from legacy/manual systems to the new digital platform, providing hands-on training to engineers and technicians to ensure successful adoption.
- Data Validation: Oversee the migration of historical compliance data, ensuring integrity and accuracy during the transition phase.
- System Management (Post-Implementation):
- Primary Administrator: Serve as the designated lead for ZetaSafe, managing user permissions, dashboard updates, and system integrations.
- Data Integrity & Auditing: Perform daily/weekly reviews of uploaded field data (e.g., Legionella & Pseudomonas results, temperature logs, POU filter changes) to ensure 100% data accuracy.
- Troubleshooting: Act as the primary point of contact for system issues, refining workflows as the estate evolves and identifying system gaps that need resolution.
Reporting & Governance:
- KPI Management: Generate real-time compliance dashboards for management, tracking PPM completion rates, remedial work closure times, and overdue tasks.
- Audit Readiness: Coordinate the evidence-gathering process for internal and external audits (CQC, TJC, Trust audits), utilising the platform's reporting features to provide instant, verifiable compliance proof.
- Stakeholder Liaison: Prepare professional data summaries for the Water Safety Group (WSG) and technical governance meetings, ensuring the data narrative accurately reflects the compliance status of the estate.
- Project Experience: Proven experience in implementing digital software solutions (specifically compliance or CAFM systems) in complex, large-scale estates.
- Software Expertise: Deep proficiency in ZetaSafe or similar compliance management platforms. You are comfortable configuring database logic, workflows, and user interfaces.
- Compliance Background: Solid understanding of healthcare compliance requirements, particularly HTM 04-01 and water safety legislation.
- Analytical Mindset: Ability to translate raw technical data into executive-level reporting.
- Change Management: Ability to drive the adoption of new systems among technical teams, balancing "system requirements" with "on-the-ground" engineering realities.
- Organizational Skills: Meticulous attention to detail. You are the architect of our compliance data strategy.
