Job summary
The Digital Services Business Support Officer supports the delivery of Digital Services across the Trust through the provision of comprehensive administrative, coordination and information management support.
The role works across a broad range of operational, governance and project activities, liaising with staff, stakeholders and suppliers to ensure the efficient functioning of the service.
Main duties of the job
The postholder will support a range of departmental activities including diary and mailbox management, meeting coordination, production of agendas and minutes, action tracking, document management, data entry and reporting, procurement administration and the maintenance of digital records.

Job responsibilities
The role will contribute to the preparation, validation and management of information used for operational reporting, audits, performance monitoring and governance purposes. The postholder will be required to collate and present information from a variety of sources, ensuring accuracy, timeliness and compliance with Trust policies and information governance requirements.
Acting as a key point of contact for Digital Services, the postholder will communicate effectively with staff at all levels across the Trust, external organisations and suppliers, ensuring that information is appropriately shared, recorded and escalated when necessary.
The postholder will work closely with colleagues across Digital Services and with administrative staff throughout the Trust to support the efficient and effective delivery of high-quality digital services.
Person Specification
Education and Qualifications
- oEducated to A Level standard, NVQ Level 4 or equivalent qualification and/or demonstrable experience in an administrative, business support or customer-focused environment.
- Educated to degree level or equivalent
- Microosoft 365, ECDL/ICDL or equivalent IT qualification
- PRINCE2 Foundation, project administration or other relevant project management qualification
- Training or qualifications relating to NHS administration, governance, procurement or project support
Previous Experience
- Significant experience of providing comprehensive administrative and business support within a busy office, corporate or service environment
- Proven experience of managing and prioritising a varied workload, balancing competing deadlines and changing priorities
- Significant experience of coordinating meetings, maintaining action logs and supporting governance, operational or project-related activities
- Demonstrable experience of building effective working relationships and communicating with a wide range of stakeholders
- Significant experience of using digital systems and collaboration platforms to support information management, communication and operational delivery
- Significant experience of maintaining electronic records and document management systems in accordance with organisational procedures
- Practical experience of producing reports, management information and business documentation from a range of data and information sources
- Previous experience of working within a large, complex organisation, ideally within the NHS or healthcare sector
Skills and Knowledge
- Significant experience of using Microsoft 365 applications, including Outlook, Teams, Word, Excel and PowerPoint
- Significant experience of coordinating meetings, managing diaries, administering shared mailboxes and supporting effective communication with a wide range of stakeholders using Outlook and Teams
- Significant experience of using SharePoint and other electronic document management systems to organise, maintain and retrieve information
- Significant experience of using Microsoft Teams, SharePoint and other digital systems to support document management, meeting administration, collaborative working and operational delivery
- Significant experience of supporting governance processes, including the preparation of agendas, distribution of papers, maintenance of action logs and production of meeting documentation
- Practical experience of tracking actions, maintaining logs and monitoring progress against agreed deadlines
- Practical experience of using Monday.com or similar project, workflow or task management systems
- Practical experience of maintaining SharePoint document libraries and structured electronic filing systems
- Good working knowledge of NHS governance, procurement and project management processes
- Practical experience of producing and presenting dashboards, performance reports and management information
