Main duties of the job

This is an exciting opportunity for a flexible, enthusiastic, and experienced administrator (ideally with experience in a healthcare of social setting) to help support and coordinate the development, implementation and embedding of these systems to meet the needs of the service.

Experience of maintaining and supporting users of a digital system is essential. Experience of working within ahealthcare/clinical setting is desirable. You will also need to be highly organised, able to prioritise workloads, have an eye for detail, have strong all round communication skills, and experience of organising a busy workload. Strong IT skills including working knowledge of MS Office packages (e.g. word, excel, outlook) as well as experience using databases is also essential.

This role can be based from any of our three hospices (with the option of some home working). To support all our care teams, you will also be required to travel to all 3 sites as required.

Job responsibilities

1. Overall Purpose of the Role

Working under the line management of Care Digital Team Leader, supporting the implementation of Care Digital Information and other Digital System projects within Childrens Hospice South West (CHSW) care. Working within Care and with the IT team to ensure all care digital systems are developed, implemented, embedded, and evaluated to meet the needs of the service.

To work with the Care Digital Team Leader to ensure the care digital systems are in place, support digital care delivery with a focus on quality ,training, accessibility and improving communication whilst meeting all safeguarding standards.

2. Main Tasks

2.1 Support the Care Digital Team Leader and working with the care digital team, with all care projects that involve a digital system or solution in line with strategy and project plans. This will involve ensuring people involved in the project plan are supported and engaged and projects are delivered within agreed time plans.

2.2 To engage with the Care teams to develop an understanding of the care delivery, business and governance arrangements and the interface with digital working ensuring systems enhance and support care delivery.

2.3 Liaise with the CHSW IT team to ensure staff are supported to access and use digital systems and use digital information for reporting, service development and care innovations. Working alongside the IT Trainer to give one to one support and group teaching sessions and digital user guides, developing support documents and FAQs for users. This will require visibility across the three sites.

2.4 Support the Care Digital Team Leader with the project delivery for new digital information systems including Vantage and Access systems and effective on-going

delivery, functionality and deliver roll out and ongoing training to the Care teams.

2.5 To work with the Care Digital Team Leader, to deliver the implementation of new and existing clinical information systems and any future digital systems in care. This includes working with external providers to ensure the system meets the care requirements of CHSW. Support the implementation of changes/edits/updates ensuring the system is fit for purpose prior to roll out and then supporting the teams during implementation and ensuring reporting meets business and governance needs.

2.6 Support Care Digital Team Leader to coordinate project priority with Care Administration Teams, ensuring pathways and timelines are followed consistently across our three CHSW sites.

2.7 Support the build and development of digital systems to ensure they are customised to meet business, quality, and care needs. This will include creating and editing templates with our Digital Team Leader, digital care and admin teams, overseen by the Care Digital Team Leader.

2.8 Where required, attend any external engagement & network meetings, market research and digital project updates, webinars, and conferences alongside or in the absence of the Care Digital Team Leader.

2.9 Respond to internal and external digital needs and requests, meeting key project/service deadlines for response and resolution.

2.10 Support a consistent data and service monitoring system.

2.11 Support the Care Digital Team Leader to continually develop and

refine digital policies and processes.

2.12 Stand in for the Care Digital Team Leader in their absence in operational/ project matters.

2.13 In conjunction with STL Education & Quality, be a link to CHSW Marketing Teams

for Care part of the website.

2.14 Support the Care Digital Team Leader with Digital system audit reviewing effective use, strengthening, and on-going quality & improvement

3 Other Tasks Safety and Quality Standards

3.1 To work to support the ethos and quality standards of CHSW are positively promoted and a safe and professional service is delivered at all times.

3.2 To support the Care Digital compliance coordinator to ensure all compliance and security standards are met in line with the NHS tool kit under the direction of the Care Digital Team

Leader.

3.3 To support the Care Digital Team Leader to ensure the quality agenda is central to all digital systems and developments ensuring that we continue to improve services and meet all safety and regulatory requirements. This includes ensuring data is accurate and easily accessible and reportable.

3.4 To support the Care Digital Team Leader to ensure support is provided to the teams enabling the smooth and effective operation of the service on a day-to-day basis.

3.5 Working with the Lead for Quality and Care Digital team, to provide accurate and relevant data to ensure CHSW reports are produced to a high standard, striving to make improvements on reporting year on year.

3.6 To work with the Care Digital Team Leader and senior care teams to develop digital policies, procedures and protocols to ensure a consistent CHSW approach to safety and standards within care digital systems.

4. General Responsibilities

to the appropriate responsible person.

4.7 To maintain confidentiality of information about clients, children, families, staff, and other CHSW business and at all times, meet the requirements of the Data Protection Act (1998), as well as comply with all CHSW Information Governance and Data Protection policies.

4.8 Maintain personal and professional development to meet the changing demands of the job, participate in an annual appraisal and appropriate training activities, encourage and support staff development and training. To attend mandatory training.

4.9 To ensure that statutory professional updating and revalidation requirements are maintained and proof of renewed registration when this is due.

4.10 To work within infection control guidelines to ensure that work methods do not constitute a risk of infection to other work colleagues, children, families, or to any persons working/visiting in CHSW premises.

4.11 Take responsibility for your own emotional well-being; taking steps to maintain a balance between work and home life; and to be aware of the importance of maintaining professional boundaries.

5. Working Arrangements

Normal working hours are worked between 9.00am to 5.00pm Monday to Thursday, 9.00am to 4.30pm on Friday with 30 minutes to be taken for lunch between 12.00 2pm or at a time convenient to CHSW.

Flexibility to travel to our 3 sites based in Bristol, Cornwall and North Devon as required, with regular on site presence at the base location.

You may be asked to work additional hours as necessary which will include unsocial hours outside the above times for which TOIL will normally be given, rather than payment.
