HR & Operations Administrator

Job summary

This varied role will provide support across HR administration, recruitment, onboarding, governance, patient safety, facilities management and IT administration. The successful candidate will play a key role in ensuring the smooth and efficient operation of the Practice.

We are looking for an individual who is highly organised, detail-focused and able to manage a varied workload. Strong administrative skills, excellent attention to detail and confidence using IT systems are essential.

Main duties of the job

To provide comprehensive administrative support across HR, governance, patient safety, facilities and IT functions. The postholder will support the smooth operation of Practice systems and processes, ensuring compliance, accurate record keeping and effective coordination of operational activities.

Job responsibilities

Key Responsibilities

HR Administration

  • Coordinate recruitment activities and interview administration.
  • Undertake DBS checks and pre-employment screening.
  • Administer new starter onboarding processes.
  • Maintain electronic and paper staff records.
  • Monitor and report on mandatory training compliance.
  • Coordinate probation reviews and associated documentation.
  • Support workforce compliance processes.
  • Provide general HR administrative support.

Learning Events & Patient Safety

  • Coordinate learning events and governance meetings.
  • Prepare agendas and supporting documentation.
  • Attend meetings and produce accurate minutes.
  • Maintain action logs and monitor completion.
  • Support DATIX incident administration and reporting.
  • Support Learning from Patient Safety Events (LFPSE) reporting.
  • Maintain governance records, trackers and documentation.
  • Assist in preparing reports and compliance data.

Facilities Administration

  • Coordinate building maintenance and repair requests.
  • Liaise with contractors and service providers.
  • Obtain quotations and arrange repairs.
  • Maintain records relating to planned preventative maintenance.
  • Monitor facilities compliance documentation.
  • Support the administration of site-related contracts.

IT Support & Administration

  • Provide first-line support for routine IT issues.
  • Log, monitor and escalate IT support requests.
  • Liaise with external IT providers.
  • Support user account administration.
  • Coordinate IT arrangements for starters, movers and leavers.
  • Assist with Microsoft 365 administration.
  • Support telephony administration and user changes.
  • Maintain equipment inventories and asset registers.


Person Specification

Experience

Essential
  • Previous administration experience
  • Strong organisational and record-keeping skills.
  • Excellent attention to detail.
  • Good IT skills including Microsoft 365.
  • Ability to maintain confidentiality and handle sensitive information.
  • Ability to work independently and manage competing priorities.
Desirable
  • Experience in HR administration.
  • Experience within healthcare or NHS settings.
  • Knowledge of compliance, governance or patient safety processes.
  • Experience liaising with contractors or IT providers.
  • Understanding of recruitment and onboarding processes.
