This is an exciting opportunity to join Choice Procurement Services and play a key role in the continued development of digital inventory management across the organisation. As we continue to modernise our supply chain and embed Scan4Safety principles, we are looking for an enthusiastic and motivated individual to help drive improvements in stock management, system performance and operational efficiency.
As our IMS (Inventory Management System) Officer, you will lead the operational management and optimisation of the Trust's Inventory Management System, supporting clinical and non-clinical teams to make the best use of digital inventory and supply chain technology. You will work closely with stakeholders across procurement, logistics, theatres and clinical services to improve data quality, streamline processes and ensure the availability of essential supplies.

Main duties of the job
You will join a supportive and developing Inventory and Logistics Team that is focused on delivering innovation, continuous improvement and best practice across inventory management and supply chain services. This role offers a unique opportunity to combine operational leadership, systems expertise, stakeholder engagement and service improvement within a fast-paced healthcare environment.
We are looking for a highly organised individual with experience of inventory management, procurement systems, reporting or supply chain processes. The successful candidate will have strong analytical skills, excellent attention to detail and the ability to interpret data and translate it into meaningful information that supports service improvement and decision-making. Experience of training and supporting users, leading projects and building effective stakeholder relationships is essential.
You will need excellent communication skills, strong IT capability and experience using reporting tools and systems. Knowledge of inventory management systems, procurement processes or NHS supply chain operations would be advantageous.

To lead the operational management, development, and optimisation of Choice and the Trusts Inventory Management System (IMS), ensuring accurate data effective digital stock control processes, and the consistent application of Scan4Safety principles. The post holder is responsible for delivering training and support to clinical and nonclinical system users, promoting best practice and ensuring that IMS workflows are understood and followed across all areas. The role also provides leadership and technical guidance to the inventory teams working in theatres, ensuring high standards of stock accuracy, system compliance, and service delivery. By overseeing system performance, supporting configuration changes, and driving process improvements, the post holder plays a key role in ensuring the availability of essential clinical supplies, reducing waste, and supporting safe, efficient, and digitally enabled supply chain operations across Choice and the Trust.
Person Specification
Knowledge & Skills
- Knowledge of a range of procurement systems and practices, underpinned by theoretical knowledge or relevant practical experience.
- Knowledge of developing procurement management information that enables accurate and informed decision making.
- Knowledge of a range of inventory management processes and procedures.
- Excellent knowledge and appreciation of maintaining effective relationships across the organisation to improve data accuracy and reporting.
- Working knowledge of project management and project forward planning.
- Ability to prioritise tasks and objectives effectively utilising available
- resources.
- Must be able to continuously refine and improve reporting and processes.
- Must be able to communicate effectively with senior colleagues within procurement and key stakeholders across the organisation.
- Must be able to monitor workload and motivate colleagues to continuously improve.
- IT skills to include use of Microsoft packages, including Outlook, Word, Excel and Powerpoint.
- Must be able to effectively train staff to use procurement systems effectively.
Physical Skills
- Travel between sites is required.
- Standard keyboard skills physical skills / hand-eye coordination to accurately and proficiently use a computer keyboard when manipulating data or preparing reports.
Experience
- Experience in procurement in a commercial business.
- Experience of data collection and using tools to measure performance.
- Experience in production of procurement information and reports.
- Experience of spreadsheet, database and computerised applications, preferably Oracle Financials. Able to create adaptable reporting structures and familiar with management of change processes.
- Experience in presenting data in a clear and concise manner.
- Experience of motivating and managing a team.
- Experience of training staff
- Experience of NHS procurement systems is desirable.
Qualifications
- Degree level qualification in related subject or equivalent training and experience.
- Chartered Institute of Procurement and Supply (CIPS) Level 4 or equivalent experience.
- 5 GCSEs (or equivalent), including English and Maths at Level 2 (GCSE 9-4 or A*-C, or Functional/Key Skills at Level 2) or equivalent experience.
- Appropriate Data Analysis Qualification or equivalent experience.
- Project Management Qualification (PRINCE2 practitioner) or equivalent experience.
- Evidence of on-going professional development.
