Team Administrator
Location: Haywards Heath, West Sussex, hybrid working Hours: Monday to Friday, 9:00am-5:00pm. Part-time working may also be considered.Pay: £26,000 p/a
An excellent opportunity has arisen for a Team Administrator to join one of our longstanding clients, within the medical field in Haywards Heath. This is a varied and integral role supporting the smooth running of the business. You will provide administrative, operational, office and event support across the wider team and senior leadership, helping to ensure that systems, schedules and day-to-day activities are managed efficiently. The company works with pharmaceutical organisations, professional medical societies and healthcare professionals around the world. The Requirements
- Ideally one to three years' experience in administration, office support or executive support.
- Entry-level candidates may also be considered if they can demonstrate exceptional organisation, initiative and proactivity.
- Proficient in Microsoft Word, Excel and PowerPoint.
- Excellent attention to detail and accuracy.
- Strong organisational and multitasking skills.
- Ability to prioritise effectively and meet deadlines.
- Professional and friendly customer-facing manner.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a collaborative team.

The Role
- Provide day-to-day administrative support across the wider business.
- Support the CEO with diary management, meeting preparation, travel bookings, room bookings and expenses.
- Complete filing, document management, data entry and reporting.
- Maintain shared drives, templates, standard operating procedures and internal systems.
- Manage and update company calendars, including event schedules.
- Monitor team holidays using internal systems.
- Coordinate two office days each month, including lunch arrangements and attendance lists.
- Help ensure office workstations and meeting rooms remain organised and functional.
- Liaise with the landlord and external suppliers regarding repairs and office requirements.
- Act as a point of contact for internal and external enquiries.
- Manage shared email inboxes and company telephone lines.
- Circulate important information to team members.
- Organise employee gifts for birthdays, Easter and Christmas.
- Support the planning of annual summer and Christmas events.
- Assist with wellbeing and Investors in People initiatives.
- Act as the first point of contact for routine requests with the external IT support provider.
- Organise equipment for new starters and meeting room requirements.
- Monitor event mailboxes and respond to enquiries.
- Compile registration reports and professional society membership information.
- Support website updates and event preparation.
- Prepare, pack and organise materials for live events.
- Provide occasional onsite event support when required.
