Practice Manager

Job summary

We seek a highly-motivated, and experienced Practice Manager to provide leadership and oversight in our organisation.

As the Practice Manager, you will be dealing with all aspects regarding staff management, hence, HR experience is highly desirable.

You will have a major role in practice finances and business planning and strategies to ensure that the practice can maintain excellent service provision and remains sustainable.

You will be working closely with the three business partners, the admin lead for both practices, the Primary Care Network team and our administrator and receptionist staff

Job responsibilities

Job Summary:

The post-holder will take lead responsibility and have oversight for all managerial and commercial aspects of Connaught Square Practice, just as the partners, who are all GPs, lead on clinical matters. The responsibilities of the post-holder will include developing and maintaining a safe, responsive and trusted clinical practice for service users and place of employment for the workforce, whilst ensuring the profitability and sustainability of the Practice as a commercial business. This will require effective, cooperative work between the post-holder and the partners as well as between the post -holder and service users, the Practice based team of clinicians and administrators and professional colleagues external to the Practice. The effective delivery of this role will require attendance at work in person rather than remote working.

Job Responsibilities:

Financial Management

  • Manage delivery and monitoring of all current contracts, informal business agreements and strategic aspirations set by the partners. These may be funded by the NHS or non NHS funded and will vary in time
  • Keeping up to date with practice performance metrics (e.g. QOF, Enhanced Services, Prescribing, out of hospital services to name a few) ensuring delivery of targets described in contracts, informal agreements and strategic aspirations
  • Create monthly financial and performance reports for the partners
  • Manage and complete payroll each month
  • Manage and monitor PAYE for Practice staff and maintain appropriate records.
  • Manage contributions to the Practice pension scheme(s) and maintain appropriate records.
  • Manage appropriate systems for handling and recording of all payments and invoices received by the practice, ensuring accuracy and completeness, investigating and seeking to remedy any discrepancies whilst alerting partners promptly of any concerns
  • Initiate and manage roll out of any new business plan.

Human Resources

Oversee the recruitment and retention of staff and provide a general personnel management service.

Ensure that all staff are legally and gainfully employed. Monitor skill-mix and deployment of staff.

Manage staffing levels within target budgets.

Evaluate, organize and oversee staff induction and training and ensure that all staff are adequately trained to fulfil their role.

Develop and implement effective staff appraisal and monitoring systems.

Support and mentor staff, both as individuals and as team members.

Implement effective systems for the resolution of disputes and grievances.

Keep abreast of changes in employment legislation.

Maintain up-to-date HR documentation (including job descriptions, employment contracts and employment policies).

Organisation

  • Convene meetings, prepare agendas and ensure distribution of minutes as necessary.
  • Keep up to date with the requirements of the Care Quality Commission (CQC) and ensure that the Practice meets them.
  • Develop Practice protocols and procedures, review and update as required.
  • Ensure that Practice premises are properly maintained and cleaned and that adequate fire prevention and security systems are in place.
  • Manage the procurement of Practice equipment, supplies and services within target budgets.
  • Develop and review Health & Safety policies and procedures and keep abreast of current legislation.
  • Arrange appropriate insurance cover.
  • Ensure that the Practice has an adequate business continuity plan.
  • Arrange appropriate maintenance for Practice equipment.
  • Liaise with external professional colleagues in appropriate settings and forum, for example, the primary care network, federation etc., to ensure that the Practice through its partners is accordingly kept up to date with issues and agendas. This might mean attending meetings to represent the practice on some occasions if appropriate.

Information Management and Technology

  • Support and develop a commercially successful digital service offered by the Practice, ensuring such a service is accessible, efficient, confidential and trustworthy, following current clinical practice guidelines and compliant with information governance policies.
  • Motivate, support and monitor staff in the use of IT; organise and oversee appropriate use of IT by staff and ensure effective training to enhance the digital service offered by the Practice
  • Set targets and monitor standards for data entry and data collection.
  • Ensure that the Practice has effective IT data security, backup, maintenance and disaster recovery plans in place.
  • Liaise with Area Teams regarding systems procurement, IT funding and national IT development programmes.
  • Maintain and periodically update the Practice website accordingly.

Person Specification

Experience

Essential
  • At least 3-5 years experience in a very senior managerial role is essential.
Desirable
  • NHS experience is desirable. Candidates without NHS experience will also be considered for applicants with exceptional credentials.
  • HR experience is desirable.
