Practice Business Manager
Job summary
Cornerways Medical Centre has an exciting opportunity for a Practice Business Manager to join our established Practice. We are looking to recruit a 20 to 25 hour a week business manager to work with our 9 GP Partners to deliver better patient care, gain experience and develop professionally.

About us
Located in purpose built two storey premises on the outskirts of Ringwood (adjacent to the New Forest National Park) with a Branch Surgery situated in a converted bungalow at St Leonards, just over the county border in Dorset. Cornerways is a training Practice with a patient list of 11,996 and forms part of the Avon Valley Primary Care Network also comprising Ringwood Medical Practice, Fordingbridge Practice and Twin Oaks Surgery (serving a collective population of 40,000 patients).

JOB DESCRIPTION
PRACTICE BUSINESS MANAGER
Strategic Management and Planning
Develop a Practice Business Plan and ensure this is kept up to date and remains relevant
Keep abreast of current developments and concerns and identify potential threats and opportunities tracking these against our Risk Register
Develop practice strategy including ideas for future practice development
Monitor and evaluate performance against objectives including the CQC Key Lines of Enquiry
Develop and maintain effective internal and external communication
Financial Management
Manage practice budgets and seek to maximise income and reduce expenditure
Understand and report on the financial implications of contract and legislation changes
Oversee practice accounts, year end figures and liaise with accountant
Monitor cash flow forecasts and share with partners
Oversee bank accounts, practice loans and negotiate with practice bankers
Manage accounts activity and ensure robust stock and ordering processes are followed
In conjunction with the accountants, ensure partner drawings are in line with current profit ratios
Manage Pension records as required for staff and partners
Undertake and monitor rent reviews and notional rent
Human Resources
Oversee recruitment and retention of staff providing a general HR management service
Develop and review staff roles in line with the changing workforce requirements of the practice
Ensure all changes in employment legislation are followed and discussed with partners as required
Ensure all staff are legally and gainfully employed
Manage staffing levels within target budgets
Liaise with Operations Manager to oversee staff induction and training
Develop and implement effective staff training and monitoring systems
Support, mentor and appraise Operations Manager
Liaise with external HR company as needed regarding disciplinary and grievance matters
Organisational
Oversee development of practice protocols and procedures, review and update as required
Oversee the management of practice premises to ensure these are properly maintained and the relevant infection control, cleaning, fire prevention and security systems are in place and maintained
Oversee the management of procurement of practice equipment, supplies and services
Develop and review health and safety procedures keeping abreast of current legislation
Chair and manage outcomes of practice business meetings and away days
Arrange appropriate insurance cover as required
Ensure the practice has adequate disaster recovery procedures in place
Ensure CQC registration is up to date and that all CQC requirements are being met
Ensure completion of all annual reporting as required by NHSE
Patient Services
Adopt a strategic approach to the development and management of patient services
Ensure service development and delivery is in accordance with local and national guidelines
Ensure the practice complies with NHS contractual obligations in relation to patient care
Maintain registration policies and monitor patient turnover and capitation
Have oversight and ensure an effective complaints management system is in place
Information Technology
Promote patient utilisation of online services to create more available resources
Consider and implement new technology which improves efficiencies
Oversee Systmone reporting, CQRS and NHSE data submissions
Review and implement DPIAs with SIRO and Caldicott Guardian and liaise with Practice DPO as required ensuring compliance with all current and future legislation
Person Specification
Experience
- Strong interpersonal and communication skills to interact positively with staff and patients
- Strong leadership and strategic planning skills to lead a diverse team effectively
- Exceptional organisational skills with attention to detail in managing multiple tasks simultaneously.
- A passion for excellent patient care and commitment to providing an outstanding service in a GP surgery environment
- Educated to a degree level in healthcare or business (desirable)
- Proven experience in financial management, including budgeting and forecasting.
- Strong knowledge of human resources practices and financial management principles
