Job summary

Working Part time: 19.5 hours per week

We are seeking a motivated and compassionate Children's Ward Clerk to join our busy paediatric team. The successful candidate will provide efficient administrative and reception support to the ward, acting as a key point of contact for children, families, visitors, and healthcare professionals.

You will be responsible for managing patient information, supporting admissions and discharges, handling telephone enquiries, maintaining accurate records, and ensuring the smooth day-to-day running of ward administration. Excellent communication, organisational, and IT skills are essential, along with the ability to work effectively in a fast-paced environment.

This role requires a friendly, professional approach and a commitment to delivering a high standard of service to children, young people, and their families.

Main duties of the job

  • Provide an efficient and professional ward clerk service to support the smooth running of the Children's Ward.
  • Act as the first point of contact for patients, families, carers, visitors, and members of the multidisciplinary team.
  • Receive and direct telephone calls, messages, and enquiries in a prompt and courteous manner.
  • Maintain accurate patient records and ensure all information is entered correctly onto Trust electronic systems.
  • Support patient admissions, transfers, and discharges, ensuring all documentation is completed accurately and in a timely manner.
  • Prepare, organise, and file ward documentation in line with Trust policies and procedures.
  • Liaise effectively with nursing, medical, allied health professional, and administrative teams.
  • Arrange appointments, investigations, transport, and follow-up requirements as requested.
  • Ensure patient confidentiality is maintained at all times in accordance with GDPR and Trust policies.
  • Order and maintain adequate stocks of ward stationery and administrative supplies.
  • Produce reports, correspondence, and ward activity data as required.
  • Provide a welcoming, caring, and child-friendly environment for children, young people, and their families.
  • Prioritise workload effectively and respond flexibly to the changing needs of the service.
  • Participate in training, development, and mandatory updates relevant to the role.

o The Countess of Chester Hospital: providing 473 general and acute beds.o Ellesmere Port Hospital: providing 60 beds as a rehabilitation, intermediate and outpatient facility.o Tarporley War Memorial Hospital: a base for community services which serve the local rural population.
