Main duties of the job

The Medical Secretary will provide comprehensive administrative and secretarial support to the clinical team, ensuring the efficient processing of referrals, correspondence and patient information. The role involves liaising with hospitals and other healthcare providers, maintaining accurate patient records, processing information requests, managing incoming communications and supporting the smooth day-to-day running of the practice while maintaining strict confidentiality. The post holder will also provide administrative support to clinicians and assist the reception team when required.

    Job responsibilities

    The Medical Secretary will provide a high-quality, patient-focused secretarial and administrative service to support the clinical team at Dartmouth Medical Practice. The post holder will be responsible for the management of referrals, clinical correspondence and patient-related documentation, ensuring all tasks are completed accurately, efficiently and in a timely manner.Key duties include processing referrals through the NHS Electronic Referral Service (e-RS), liaising with hospitals and community healthcare providers, maintaining accurate patient records, processing information requests such as Subject Access Requests and insurance reports, and managing incoming telephone and email enquiries. The successful candidate will work closely with clinicians and colleagues to support the effective day-to-day running of the practice whilst maintaining the highest standards of confidentiality. This is an excellent opportunity for an organised individual with strong communication skills, attention to detail and the ability to work effectively within a busy primary care environment

    Experience

    Essential
    • Excellent written and verbal communication skills and
    • Strong organisational skills with the ability to prioritise and manage workload effectively.
    • Strong attention to detail and accuracy
    • IT skills, including experience using Microsoft Office applications.
    • Ability to maintain strict confidentiality and handle sensitive information appropriately.
    • Experience of working in an administrative, secretarial or customer service role.
    • Ability to work independently and as part of a team.
    • Professional, courteous and patient-focused approach.
    • Ability to remain calm and effective when working in a busy environment.
    Desirable
    • Previous experience working in a GP practice, NHS or healthcare environment.
    • Knowledge of NHS primary care services and processes.
    • Experience of processing referrals and clinical correspondence.
    • Familiarity with the NHS Electronic Referral Service (e-RS).
    • Experience using clinical systems such as SystmOne.
    • Knowledge of information governance, GDPR and patient confidentiality requirements.
    • Experience handling Subject Access Requests (SARs), insurance reports or other medical records requests.
    • Understanding of medical terminology.
    • Experience working within a busy administrative or secretarial role.
