Business Support Administrator
Job summary
This role is a fixed term/ secondment until 31 March 2026 to cover a period of absence.

The successful candidate will join the Information Programmes Management Team to provide comprehensive, confidential administrative, clerical and business support, to include elements of project support within the Clinical Directorate.
Main duties of the job
The successful candidate will act as a point of contact for the team, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
To provide administrative support including when appropriate to all team members to support a range of department initiatives.
This post is secondment for 5 months due to - meet the needs of the service.

We are looking for candidates who can demonstrate proven experience and strong skills in the following areas:

The right candidates will be highly literate, have experience of delivering in an Informatics environment and ideally, have a working knowledge of how information and technology support the delivery of patient services throughout NHS Wales.

Excellent interpersonal, communication and organisational skills.

Providing a diary management service with the ability to resolve conflicting diary appointments and schedules.

Manage, organise, facilitate and support the planning of complex meetings, events, and conferences.

Preparation of agendas and minutes, taking appropriate follow-up action as required, and maintaining action logs, risk registers and decision logs.

Provide an effective and efficient professional service when liaising with colleagues, partners, and the public.
Project support skills able to monitor progress against defined aspects of projects and business processes, identifying problems or opportunities, and take the necessary action. Qualifications
- HNC or first part of foundation degree in relevant field or equivalent experience
- Good knowledge of secretarial and administrative procedures and systems
- Registered with a relevant professional body
Experience
- Demonstrable experience in an administrative role.
- Previous experience of working with financial systems and/or purchasing of goods or equipment.
- Previous experience of dealing with customers, clients and/or members of the public.
- Experience of communicating at all levels.
- Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
- Experience of transcribing and minute taking
Skills and Attributes
- Good knowledge of MS Office Suite
- Awareness of policies and procedures relating to dealing with confidential data both personal and organisational
- Thorough understanding of office procedures
- Working knowledge of filing/data systems including records management
- Ability to work on own initiative and manage own workload
- Advanced keyboard skills
- Good organisational skills
- Ability to work to deadlines and under pressure
- Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh.
